We seek a meticulously organized bookkeeper and office manager to join our all-star team supporting a fast-growing US Based SaaS company. You will work independently in a virtual setting while coordinating across departments. This is a mission-critical role demanding sharp business acumen, flawless execution, and insights to help us scale efficiently.

You will own key finance, accounting, payroll, administrative and office functions, emphasizing complex SaaS metrics and models. Duties range from full-cycle bookkeeping, planning and reporting to optimizations, invoicing, customer billing, collections, HR task coordination and more. We provide robust support, but top candidates are proactive self-starters needing little direction.

Key Responsibilities

– Handle full-cycle bookkeeping & office management for a high-growth SaaS firm
– Manage intricate recurring revenue operations, including moving contracts to a new billing system
– Ensure accurate ongoing customer invoicing and prevent billing gaps
– Handle account changes like upgrades/downgrades and mid-cycle prorating
– Prepare accurate customer invoices, manage AR, and aid collections efforts
– Optimize processes to ensure multi-state sales tax compliance
– Analyze and report on SaaS KPIs, create financial reports, manage budgets/plans
– Run and be responsible for payroll, coordinating insurance, 401k, tax compliance, bank reconciliation
– Research laws and processes to ensure legal compliance
– Identify and implement workflow improvements and cost optimizations
– Maintain meticulous financial records and office documentation
– Organize files within OneDrive or Sharepoint
– Respond to employee HR and benefits questions
– Document procedures to train future staff and to cover issues if you need time off
– Confirm understanding of subscription commerce concepts
– Establish healthy relationships with clients
– Implement remote work redundancy for connectivity
– Have contingency plans to meet deadlines
– Use failover equipment/battery backup solutions and internet to ensure availability
– Onboard US based employees with federal and state paperwork

Requirements

– 3+ years bookkeeping, office management, SaaS billing experience
– Bachelor’s degree in business/finance/accounting
– Mastery of QuickBooks and SaaS tools/metrics
– Troubleshoot billing and invoicing system integrations
– Proven ability to self-manage and work independently
– Impeccable integrity and confidentiality
– Make decisions using self-guiding criteria in advance
– Help onboard US based employees with paperwork

Preferred Qualifications

– Experience supporting fast-growing SaaS companies
– Knowledge of SaaS financial planning and modeling
– HR and benefits insurance coordination skills
– 401k or other retirement plans knowledge
