Job Title: Sales Administrator and Personal Assistant to the Associate Director

WHAT WE NEED

We are seeking an experienced, organised, and self-motivated individual to serve as both a Sales Administrator and Personal Assistant to our Associate Director. This dual role requires someone with a strong understanding of sales processes, excellent organisational skills, and the ability to manage various tasks simultaneously.

This is a very dynamic role in a fast-growing business with a variety of exciting and prestigious projects across London. The company is a leader in construction digital documentation, so we expect you to have a great understanding of digital systems.
The ideal candidate will be a proactive self-starter who can manage multiple tasks efficiently. Someone who will be able to quickly move from task to task, as in any one day you might be: drafting a proposal, managing a mailbox/diary, generating leads, etc.

WHAT YOU’LL DO

A) Sales Administration
1. Draft proposals and sales quote templates and continuously improve the quoting process.
2. Measure and estimate projects and validate project sizes using tools like Google Maps, MS Excel, and occasionally construction estimating software.
3. Obtain project information from drawings and/or planning portals.
4. Provide Salesforce (CRM) task and management support (cleaning up contact, opportunity, and account information) to maximise business winning time.
5. Add new project information to Trello and take project details from our PM processes to help accounts compile invoices.
6. Add users to Multivista software and help clients get successfully onboarded.
7. Produce and edit relevant documents for the sales team, including mail merges, spreadsheets, and databases.
8. Lead generation – Create sales and contact lists from marketing databases and online research.

B) General Admin Tasks
1. Manage the Associate Directors’ schedule and calendar, including organising meetings.
2. Handle executive mailbox management, responding to emails and prioritising communication.
3. Project Management of important information like chasing and monitoring contracts and purchase orders.
4. Travel management – will help with booking travel accommodation and restaurant reservations for client meetings
5. Note-taking/meeting minute drafting for important or complex calls
6. Handle documentation management tasks such as saving documents to Dropbox and Salesforce, ensuring every document is easily auditable.

NOTE:

Your primary responsibility is to support the Associate Director, but you should also be able to assist other departments during downtime.

IDEALLY YOU HAVE:

1. A bachelor’s degree level education.
2. Excellent spoken and written English
3. Have 2+ years’ experience in a sales environment.
4. Proven experience using Microsoft (MS) Office 365 (especially MS Excel), Salesforce, Mail Merge, and Dropbox.
5. Ability to prioritise and manage multiple tasks in a fast-paced environment while ensuring high attention to detail.
6. Have experience writing sales content for proposals.
7. Ability to work independently and remotely, with minimal supervision.

LOCATION

The office is based in London, England. We expect you to work remotely, but we need you to be available during typical UK business hours 8.30 am – 5.30 pm GMT.

We are looking for a full-time role on a freelance basis.
