Job Description

Sales/Ops Customer Service Representative
We are looking for a Full-Time Sales/Ops Customer Service Representative to join our
growing team for our printing & personalized service business in Southern California,
and would like to hire someone experienced from the Philippines for a long-term
position, Graveyard Shift 8/9am-5/6pm PST only!
Your Responsibilities:
? Will be in constant email contact with the suppliers’ when requesting for a
quote, placing an order and keeping track of the orders in production until
completion
? Analyze incoming emails/information, submissions, and create a quote
based on the Client’s request and company’s procedures
? Coordinating with the COO and Managers for any complex projects
? Assist the COO, Office + HR Manager, Accounting Manager, and/or Team
Supervisor when assigned a shared assignment, such as completing
corporate forms or organizing sensitive data
? Data entry and retrieval is carried out through the use of Asana, Gmail,
Google Drive/Sheets/Docs, our printing software systems, and any other
apps/software used by the organization.
? Manage projects for quoting, in production, and completion
? Creating Job Order via Print Smith
? Attend necessary training/coaching sessions, and/or mandatory meetings
with managers and CSRs
? Any other Sales/Operations and Production tasks that may surface
? Coordinate and communicate sales/operations effort with team members
and other departments daily directly (with Team members in Southern
California Pacific Standard Time – PST zone)
? Any other Sales/Operations, Production & Marketing tasks that surfaced
Job Requirements:
? Excellent verbal & written English communication skills in order to delegate/request
data needs from the EA
? Minimum basic understanding of common American-English shorthand vocabulary
& abbreviations
? Can multi-task at least 5 complex projects/workflows at any given moment under
pressure, while keeping an eye for constant communication (messaging or email)
? Must be able to meet deadlines in a fast-paced & quick-changing environment
? Can be on virtual calls with the team members for up to a combined 7 hours per
shift.
? Can accommodate scheduled weekly meetings & trainings during California work
hours, and Philippines time zone as needed (Even if already worked 10 hours on the
same day)
? Has work experiences of: Customer Service Representative (Sales Account or
Marketing Account), Data Organization, Data Entry, Project Management
Team-oriented related work experiences (minimum 2 years, prefer 5+yrs if
combined)
? Has Microsoft Office & Adobe Reader applications, AND good knowledge of Excel
& Word features
? Good understanding of Google Drive & Google Sheets/Docs, including editing &
sharing features
? Good knowledge of Gmail system & Delegation features
? Fast-learner on new softwares & applications
? Prioritize & adjust daily as needed ~ Ability to work effectively with minimal
supervision, while organizing a daily workload by priorities
? Critical thinking & proactiveness ~ up with solutions & ideas by thinking “outside
the box” for different scenarios, proactive approach to problem-solving with good
decision-making skills. Continually look for a better way of doing things
? Fast scanning & good memorization skills ~ Reading, analyzing, researching and
organizing data to provide the correct necessary information
? Must be able to stay connected to internal group meeting calls for UP TO 7 hours a
shift
? Must have strong Mathematical skills and the ability to calculate basic equations
using large numbers, percentages, and fractions.
? Must also be able to solve equations using the Standard Measurement System
Required Equipments:
? Reliable computer (minimum of 12Gb RAM) with mouse, which can run &
operate at least 8+ apps with 5+ browser windows (5+tabs each) at the same
time
? Noise-cancellation headset with mouthpiece (minimum 15+hr talk time if
wireless)
? Additional computer or TV screen to effectively monitor various projects’
progress
? Stable wired internet connection (minimum of 60/90Mbps), NOT
pre-paid wireless modem dependable on cellular network only

a positive customer experience.
