About the Role
Our client is a leading real estate agency dedicated to providing exceptional service and expertise to their clients.
As the Sales Support/Administrator, you will play a crucial role in facilitating seamless communication between our team and vendors, ensuring all sales activities are executed efficiently. You will be instrumental in managing sales files, coordinating marketing materials, and maintaining strong client relationships throughout the sales process. Key Responsibilities

Creating Property Appraisals/Prospecting Leads
Input vendor details into the CRM system.
Generate property appraisals for upcoming appointments.
Develop marketing schedules and sales proposals tailored to each property.
Coordinate appointment confirmations with vendors via email.
Schedule reminders for upcoming appointments with both clients and vendors.
Maintain records of properties in the CRM pipeline.
Distribute approved appraisals, sales proposals, and marketing materials.
Facilitate the creation and signing of sales authorities with vendors.

Onboarding a New Property
Create property listings using a Real Estate CRM platform.
Manage the receipt and upload of signed authorities and relevant documents to the CRM and online storage.
Send welcome/thank-you emails to vendors and provide them with a calendar of upcoming events.
Coordinate maintenance requests for property preparation.
Handle invoices for property maintenance and ensure timely payment by vendors.
Organise and save marketing schedules and materials in online storage.
Coordinate with vendors’ solicitors for the preparation of sales contracts and legal documents.
Schedule professional staging, photography, floor plan creation, and copywriting services as needed.

Processing of Properties
Manage the processing of sold files, including all relevant documents such as contracts of sale, authorities, and marketing schedules.
Update the Real Estate CRM system with buyer offers and information.
Facilitate the distribution of fully executed contracts of sale to buyers and vendor conveyancers.
Coordinate upcoming settlements, including arranging building and pest inspections if required, and scheduling final inspections.
Collaborate with the accounting department to ensure all necessary documents are processed for settlement.
Maintain communication with vendors regarding upcoming settlement dates and any necessary arrangements.
Coordinate with suppliers for the removal of property signage after settlement.
Monitor email correspondence from conveyancers to confirm property settlements.
Arrange and distribute account sale files to conveyancers, buyers, and vendors.
On settlement dates, coordinate the posting of property photos on social media platforms to announce successful sales.

Other Responsibilities
Make necessary process suggestions and improvements which can help the team.
Contributes to team effort by accomplishing related results as needed.
Perform other related tasks and duties that may be assigned by the client later on.

About You
Minimum 3 years experience in a similar role
Proficient in using CMA and Appraisal tools such as Price Finder.
Experience with trackers, preferably Airtable, for efficient task management.
Strong communication skills and proficiency in using messaging platforms like WhatsApp.
Familiarity with CRM systems, particularly Nurture Cloud, is preferred.
Ability to communicate fluently in English with minimal accent. An
An Australian accent is preferred, but a US accent is acceptable.
