HHS Scheduling Assistant (Part Time – 32 hours a week, Monday – Friday during US working hours)

Essential Job Functions

The Scheduling Assistant is responsible for the supervision and execution of the administrative functions of Helpful Home Services, including customer service, record keeping, and scheduling. Specific job responsibilities and accountabilities for this position include:

• Input, assign and schedule work orders for Field Maintenance Technicians trained and qualified to complete the specific scope of work, reviewing and confirming the accuracy of all work order completion notes and start/stop time, reviewing/inputting/confirming daily hours worked by each Field Maintenance Technician, and maintaining necessary files and records.
• Work with Field Maintenance Supervisor in the preparation and submittal of estimates to clients.
• Interface with clients in regards to estimates, invoicing and general customer service inquiries.
• Submit Field Maintenance Technicians hours to payroll.
• Assist in weekly meetings with staff.
• Adhering to Company values, policies, and procedures, including procedures applicable to ordering/purchasing parts and materials and completing/closing out work orders.
• Maintaining trusting, proactive and positive business relationships with direct reports, tenants, third party vendors, Company staff and property owners.

Qualifications
• NBI and Police Clearance Required
• Personal Computer
• 25MBPS Internet Speed and secure router
• Must be willing to work during U.S. Business Hours
• Proficiency with Microsoft Word and Excel, GoogleSuite, DropBox and Apple products
• Excellent organization and ability to keep sensitive financial information confidential
• Proficient oral and written communication in the English language
• Diligence, consistency, and a strong work ethic
• Ability to prioritize numerous matters and work independently and efficiently with minimal supervision
• Ability to work in a dynamic virtual work environment
