Position Description
The school secretary works in the administrative office of a school (virtually), and is responsible for performing daily admin work. The job role involves interacting with the head teacher, staff, students and parents, tracking attendance records, mailing school forms, and managing the school calendar. It is also important for the school secretary to have good spoken English as well as excellent written skills.
The school secretary answers the office phone and transfers calls as necessary, processes school fees and payments, maintains student records, welcomes school enrolment enquiries, and handles any day-to-day clerical needs required by the school.
The role also includes the promotion and respect of the ethos of the school.
Essential Duties and Responsibilities of the School Secretary
• Answer telephone and addresses caller questions and concerns.
• Reply to support and enrolment queries from students and teachers, as well as parents.
• Mails student report cards, school brochures, and other necessary forms.
• Types up and contributes to the school newsletter.
• Assists in designing and drawing up promotional and informational materials for parents.
• Maintains records of student absences.
• Accepts and processes tuition payments from parents.
• Sorts and distributes email delivered to the school.
• Contacts parents in the event of student illness or behavioural issues.
• Maintains student records and files.
• Uses computer database or filing system to update records as necessary.
• Manages and updates school calendar.
• Provides administrative support to the head teacher or other upper level administrators as needed.
• Takes dictation and transcribes documents. Attends office meetings and takes minutes.

Education and Experience
• High school diploma or GED is required.
• Bachelor’s Degree is recommended.
• Previous work experience in an office setting is recommended.
