Job Description

We are looking for an experienced expert to help us create a custom task management and knowledge base system for our organization. Our goal is to streamline our 333 strategy for problem-solving and time management, as well as to organize our policies, tasks, and updates dynamically and efficiently.

About Us:

We are a mission-driven organization involved in real estate, personal development, and education. Our unique 333 strategy helps us prioritize and solve problems efficiently. However, we need a robust system to manage the outputs and ensure all documents, policies, and tasks are well-organized and easily accessible.

Project Scope:

Create a Centralized Knowledge Base:

Develop dynamic documents that update in real-time.
Centralize all our policies, updates, and tasks.
Implement templates for our Weekly and Weekday 333 meetings.
Task and Project Management:

Set up task lists with priorities, due dates, and assignees.
Implement time blocks for tasks to ensure objectives are scheduled and tracked.
Create dashboards to monitor the status of tasks, policies, and project progress.
Automation:

Automate reminders for upcoming tasks, meetings, and deadlines.
Automate the creation of new tasks or updates based on the outcomes of 333 meetings.
Collaboration and Data Management:

Enable real-time collaboration on documents, tasks, and projects.
Create different views (kanban boards, tables, calendars) to manage and visualize workload.
Integration:

Integrate Coda with other tools such as Google Calendar, and Go High Level.
Requirements:

Proven experience in building complex systems in .
Strong understanding of task management and knowledge base creation.
Experience with automation in .
Familiarity with integrating with other tools and platforms.
Excellent communication and collaboration skills.

Preferred Qualifications:

Experience working with real estate, personal development, or educational organizations.
Understanding of the 333 strategy or similar problem-solving frameworks.
Ability to provide training and documentation for the created system.

The 333 Strategy for Efficient Problem Solving and Time Management
Within our organization there will be 2 types of 333s.

The Weekly 333 will be asynchronous. It will be done by you on the Weekend. It will identify the big things that need to be fixed during the week. With that premise in mind, assess your responsibilities in the business. List the business related problems you feel if solved, would help the most in allowing us to move forward to the biggest, most significant and quickest wins possible.

Procedure
Set the priority for the item/s you identified (1, 2, 3)
For each number 1 item, Set a time during the week to address that item
Use a google calendar
Shoot for 3-5 minutes
If you’re new at the technique, leave time to go over

How it works…
Each Week Day 333 will begin with a focus of a number 1 problem identified from the Weekly asynchronous 333 from the weekend.
With the number 1 problem in mind, list all the impediments to moving forward on that issue.
Set the priority for the item/s you identified (1, 2, 3)
There should be no more than 3 number 1 at a time.
Create a policy to fix the problem/s you gave the highest priority.

That is the end of the Week Day 333.

However, you next task should be to set a designated time on you calendar to do the following: Break each created policy into objectives and tasks Objectives may take 1 – 2 hours to complete Put tasks associated with the objectives in 19 minute time blocks (3 per day) Don’t just say, ” I have eight hours to complete my objectives for the day” Put it in a time block and push to finish it at the designated time.

In summary, our days should include 5-7 things (3-5 is better, 2-3 might be best when starting out) that need to be accomplished to help build the business.
