VIRTUAL ASSISTANT
LIZ CASKEY CULINARY & WINE EXPERIENCES
Hi there! We are hiring a full-time virtual assistant to support our company’s operations in international travel & wine imports from South America to the US and ensure all logistics run smoothly and effectively in order to exceed our clients’ expectations.
You will assist with administrative tasks and create systems for our business while supporting our vendors and customers. This role is integral to the ongoing process improvements that will allow our company to scale.
REQUIREMENTS:
-MUST BE A SELF-STARTER & TAKE INITIATIVE: I am not looking for someone to be told what to do. I am looking for someone to not only deliver tasks yet see how they can go above and beyond to anticipate what needs to be done, leverage idle time improving our backend systems, and ultimately, creating more revenue for the business.
-Proven experience as a Virtual Assistant or relevant role in Operations. Experience in event management, travel, and imports is a plus.
-Experience with word-processing software and spreadsheets (e.g. MS Office, Google Suite)
-Familiarity with project management tools like Click-Up
-Knowledge of online calendars and scheduling (e.g. Google Calendar)
-Able and willing to learn new tech platforms necessary to operate our business quickly and efficiently
-Familiarity with social media platforms
-Excellent email and written communication skills
-Excellent time management skills
-Solid organizational skills
-Attention to detail and ability to problem solve
-Enjoy working in an intense, fast-paced environment

ABOUT THE POSITION:
Here are some of the on-going tasks and responsibilities:
-Document all administrative procedures & then follow those procedures
-General admin tasks
-Email management and organization of folders.
-Respond to emails and inquiries from customers; monitor email account
-Actively contribute to the growth of the business. Bring forth new ideas and strategies.
TRAVEL-RELATED
-Support our Travel Operations Coordinator in administering all aspects of a trip’s required reservations, modifications, and cancellations in a timely and efficient manner.
-Contact suppliers to book, confirm or provide information regarding tours reservations. Make sure that hotels/suppliers confirm every component of each new services and suppliers as needed in alignment with company SOP protocols.
-Coordinate with the suppliers and LCCWE collaborators about all details of customer trips and services
-Send required documentation to LCCWE hosts/guides running the trip in advance and communicate all significant trip details to vendors and other relevant individuals in preparation for a trip
-Coordinate and assist in ground support for logistical issues during trips
-Address any customer issues that arise, work with our company CEO & Operations Coordinator to solve operations-related issues
WINE-IMPORT RELATED
-Coordinate logistics for import of wine ranging from registering labels to liasoning with the shipping carrier and wineries.
-Coordinate client shipments for fulfillment of wine orders
-Support outreach to distributors and suppliers
-Follow changes in government rules and regulations related to the destinations we serve.
-Assistance in booking any events, appointments, related to showing or tasting wines as required.
-Support marketing activities: uploading Social Media content, preparing e-mail marketing campaigns and newsletters as needed.
ABOUT COMPENSATION:
-Full time, 40 hours per week
-Ability to work from 9am-5pm EST Monday – Friday. Some weekends may be necessary during the busiest months of year (November – April).
-Bimonthly pay
