Job Description

We are seeking a highly organized and dedicated Personal Assistant to support our busy team. As a Personal Assistant, to the company director and owner, you will be responsible for providing comprehensive administrative and secretarial support to ensure the smooth functioning of our daily operations.

We currently employ 2 Filipino assistants who run and manage every aspect of our business. Most of whom want to be with us for between one and three years. We’re looking for long-term, reliable staff who want interesting and challenging careers.

THE PA/VA WE ARE LOOKING FOR

Manage the executive’s calendar, schedule appointments, and coordinate meetings
Screen and manage incoming calls, emails, and correspondence, prioritizing urgent matters
Organize and maintain files, records, and documents, ensuring confidentiality and accuracy
Make travel arrangements, including flights, accommodations, and itineraries
Assist in preparing reports, presentations, and other documents as required
Handle personal errands and tasks for the executive as needed
Conduct research and gather information on various topics as assigned
Coordinate and liaise with internal teams and external stakeholders
Assist in event planning and coordination, both on-site and virtual
Monitor deadlines and follow up on pending matters to ensure timely resolution
Handle expenses and financial matters, including tracking receipts and invoices
Maintain office supplies and equipment, ordering as needed
Perform other administrative tasks and ad-hoc duties as requested!
You’ll need to be available for part-time work, which may grow to full time

REQUIREMENTS

Proven experience as a Personal Assistant or similar role
Excellent organizational and time-management skills
Strong written and verbal communication abilities
High attention to detail and accuracy
Being proficient in using Google Workspace (Gmail, Doc, Google Sheets), Asana, Slack, & LucidChart is a plus!
Discretion and confidentiality in handling sensitive information
Ability to multitask and prioritize tasks effectively
Excellent problem-solving and decision-making skills
Professional and positive demeanor, even under pressure
You will be involved in assisting with general administration and ad-hoc tasks. There will be instructional videos to watch to show you how we work.
You need to work some UK office hours. Eg 2-4 hours per week

I am married and have a young family and currently run a medico-legal reporting and business coaching company. The companies are run from London, UK

OUR COMPANIES PAY AND BENEFITS

Starting pay rate: min 200 PHP per hour
You will get paid on the same day as your start every week via Transferwise
Bonuses will be paid for exceptional work
Your pay will increase based on the standard of your work and time with the company
You will be given holiday and sick pay if you become a permanent staff member
We pay the 13th month as standard (pro rata) once the first full year of service has been completed
