Senior Bookkeeping & Administrative Assistant for Red Door Memphis (RDM) Property Management

Organization Overview

It is essential that all of our subcontractors and vendor partners adhere to the same standards.

Position Mission

This is a full-time role reporting to both the Property Manager (PM) and the Accounting Manager (AM). The Senior Administrative Assistant (AA) will work remotely and is responsible for assisting the PM, AM, and other team members with tasks such as rent collections, leasing, lease renewals, evictions, accounts payables, credit card/bank reconciliations, and debt spreadsheet maintenance while ensuring tenant satisfaction. Hours for this role are 8am-5pm Central Time, Monday-Friday; on occasion there is a need to work additional hours on evenings and weekends throughout the year.

Role Overview

– Under the direction of the PM and AM of RDM, the AA will
– Handle collections, promoting resident retention
– Assist in initial leasing assistance to leasing agents and application processing, lease renewals, and evictions
– Process accounts payables
– Complete credit card and bank reconciliation
– Maintain and update debt spreadsheet on a monthly basis
– Maintain accurate day-to-day financial transactions with correct classifications
– Handle additional peripherals such as monthly and quarterly reports, annual inspection oversight, insurance reviews, research, etc.
– Provide exceptional customer service
– Support the PM, AM, and Company Owner with miscellaneous administrative tasks
– Develop and refine processes and procedures as needed as the business grows and changes. This may include researching new products and tools.

Essential Job Functions

– This is a Full Time position working Central Time 8am to 5pm Monday through Friday. The position will include occasional, brief weekend/holiday check-ins.
– Able to work within our various management systems/applications (AppFolio, Nozbe, RIng Central, Voxer, etc)
– Speaks and writes English very well
– Reliable equipment (primarily computer) that is able to run our many systems/apps as well as reliable internet service with backups as needed
– Focus on following very detailed written procedures – every time
– Able to juggle multiple tasks; has good time management skills
– Able to make minor decisions and respond to tenants based on known procedures/facts and prior experiences
– Willing to point out procedures that may need to be updated

Qualifications

– Professional Knowledge and Skills
– At least two years of relevant experience;
– Basic bookkeeping background/experience;
– Project management skills, including ability to manage multiple projects;
– Experience with research;
– High proficiency in Microsoft Office programs, including Word & Excel, as well as Google Docs and Sheets. Experience with and access to Adobe Pro (read and write functions).
– Experience with project management software, property management software, WordPress or other CMS all a plus.

Pay: $4.50/hour when hired. $5.00/hour after completing a 90 day probation/training period.
Benefits: Up to 5 paid days off annually (prorated during the first year).
