About the Role:
Are you a seasoned executive assistant with a flair for multitasking and a passion for the finer things in life? ????? We’re seeking a superstar Operations Manager / Senior Executive Assistant to join our dynamic, fun-loving team. In this role, you’ll be the right-hand person to our CEO – a powerhouse businesswoman, devoted mother, loving wife, and proud fur mom to Coco, our adorable puppy.
The goal of the Executive Assistant is to keep the CEO and her team productive, on-task, and organized, both personally and professionally, allowing the CEO to operate as a visionary in her “desired zone” (a.k.a. her unique ability/genius). Removing the day-to-day tasks and administrative details will be a game-changer for the CEO.
The ideal candidate is a seasoned professional with a proven work ethic and a “can-do” attitude. The candidate will be expected to multitask and handle all projects with tact and precision. This job will be demanding, dynamic, and rewarding, offering growth potential for the right candidate.
Your Mission:
???? Operations Management:
Mastermind the daily operations of our bustling boutique, ensuring every department—sales, marketing, accounting, IT, and more—runs like a well-oiled machine.
Become the go-to guru for all things operations, from coordinating with teams to tracking key performance indicators.
Dive into our KPIs, data analysis, uncovering trends and opportunities to drive efficiency, productivity, and increased revenues
???? Strategy Development & Project Management:
Lead the charge in implementing our ambitious growth plans, from new product lines, books, and self-produced design shows to dazzling PR opportunities.
Dive into project planning and management, overseeing everything from home renovations to furniture design projects.
Take our big ideas and transform them into actionable multi-year timelines, breaking them down into daily tasks to propel us toward our goals.
Master the art of multitasking by aligning one project with multiple objectives, including design excellence, project completion, PR opportunities, TV features, and sales growth.
Ensure every project stays on track, from budget management to quality assurance and deadline enforcement.
Assist with implementing new policies and procedures, documenting company processes into SOPs and project management systems, and ensuring department adherence.
???? Administrative Support:
Be the guardian of our CEO’s schedule, seamlessly balancing her business commitments with her personal life.
Dive into email management, ensuring every message is handled gracefully and efficiently.
From document management to personal errands, you’ll be the ultimate multitasking maestro, keeping everything running smoothly.
Showcase your quick and thorough research prowess, sourcing solutions for business and personal needs from various platforms, including Google, trade websites, mom blogs, community papers, and more.
???? Personal Life Management:
Family Calendar: Efficiently manage the family calendar, organizing activities and appointments for the CEO’s two boys while ensuring a harmonious balance with business commitments.
Activity Coordination: Oversee the boys’ schedules and activities, ensuring seamless coordination and support.
Spearhead the management of personal services, from travel arrangements to appointment scheduling, bill payments, and thoughtful gift ordering, ensuring the CEO’s personal life runs as smoothly as her professional endeavors.
Requirements:
Bachelor’s degree in business administration or related field ????
5+ years of experience in executive assisting at a senior level ????
Project management skillset with multi-year experience and proficiency in project management software ????
Proficiency in Microsoft Office and project management tools ????
Strong organizational skills and attention to detail ????
Ability to work autonomously and handle confidential information with professionalism ????
A proactive attitude and a knack for problem-solving ????
Retail or wholesale background with sales and product development knowledge is a plus ??
