We are an Serviced Accommodation Management business that has 16 properties across Southampton, Farnborough, Woking and Basingstoke, England UK.

The Role: The Serviced Accommodation Guest Coordinator will be responsible for performing various tasks related to the operation of our serviced accommodation business, managing the guest experience and ensuring great guest communication.
Initially this opportunity is for part-time hours however this may increase during busier seasonal periods.

The ideal candidate MUST have strong organizational skills, phone confidence with excellent communication skills in English. If you are a polite and hospitable individual then we would love to hear from you.

Key Responsibilities:

– Guest Communication: Respond to guest inquiries promptly and professionally via email, phone, or messaging platforms, providing information about our accommodations, amenities, and services.

– Guest Pre-Arrival Support: Ensure pre-arrival data is received by the guests (ID checks, Deposit, T&C’s signed), check-in instructions, and any special requests are managed before their arrival to ensure a smooth check-in process.

– Guest Experience: Ensure a seamless and positive guest experience by addressing guest requests, resolving issues, and handling any complaints in a professional and timely manner.

– Feedback and Reviews: Collect and manage guest feedback, encouraging positive reviews and addressing any issues raised in a timely manner.

– Calendar Management: Update and manage channel manager, ensure accurate booking information to avoid overbookings.

– Booking Platform Management – Familiarise yourself with various booking platforms’ systems and tools to effectively manage and coordinate reservations, booking modification.

– Property Listings: Maintain accurate and up-to-date property listings on various booking platforms, ensuring content accuracy, attractive visuals, and competitive pricing.

– Property Maintenance, Housekeeping Management & Linen Coordination – Coordinate property maintenance and repairs, organise linen orders and cleaning schedules with the relevant teams or external service providers to ensure accommodations are well-maintained and ready for new guests.

– Quality assurance – monitor and ensure the properties are well-maintained and meet the expected standards.

– Administrative Support – Provide general administrative support to property manager, including data entry, report generation, and document management.

– Social Media – Assist with creating and implementing content on social media platforms. Make graphics/digital designs using Canva.

Qualifications:
– Proven work experience as a Virtual Assistant or in a similar role, within the hospitality or serviced accommodations industry.
– Excellent written and verbal communication skills in a friendly and approachable manner.
– Strong organisational skills and attention to detail to manage bookings and guest requirements effectively.
– Ability to multitask and prioritise tasks in a fast-paced environment.
– Proficiency in using reservation management systems and online booking platforms (Hostfully, , AirBnB)
– Proficiency in using communication tools and software for virtual collaboration. – Customer-centric mindset and a passion for delivering exceptional guest experiences.
– Problem-solving skills and the ability to handle challenging situations with diplomacy and professionalism.
– Availability to work flexible hours, including weekends and holidays, to accommodate guest needs.
