The Role: The Serviced Accommodation Virtual Assistant will be responsible for assisting with various administrative tasks related to our serviced accommodation. You will work remotely, provide support to our property managers, handle guest enquiries, manage bookings, and maintain the highest level of guest satisfaction.
Key Responsibilities:
– Guest Communication: Respond to guest inquiries promptly and professionally via email, phone, or messaging platforms, providing information about our accommodations, amenities, and services.
– Booking Management: Coordinate and manage accommodation bookings, including check-ins, check-outs, and any booking modifications.
– Guest Experience: Ensure a seamless and positive guest experience by addressing guest requests, resolving issues, and handling any complaints with empathy and efficiency.
– Property Listings: Maintain accurate and up-to-date property listings on various booking platforms, ensuring content accuracy, attractive visuals, and competitive pricing.
– Calendar and Inventory Management: Update and manage availability calendars to reflect accurate booking information and avoid overbookings.
– Check-in Instructions: Prepare and send detailed check-in instructions to guests before their arrival to ensure a smooth check-in process.
– Housekeeping Coordination: Coordinate with the housekeeping team to ensure accommodations are well-maintained and ready for new guests.
– Feedback and Reviews: Collect and manage guest feedback, encouraging positive reviews and addressing any issues raised in a timely manner.
– Administrative Support: Provide general administrative support to property managers, including data entry, report generation, and document management.
– Booking Platform Support: Familiarise yourself with various booking platforms’ systems and tools to effectively manage reservations and listings.
Requirements:
– Proven work experience as a Virtual Assistant or in a similar role, preferably within the hospitality or serviced accommodations industry.
– Excellent written and verbal communication skills in a friendly and approachable manner.
– Strong organisational skills and attention to detail to manage bookings and guest requirements effectively.
– Ability to multitask and prioritise tasks in a fast-paced environment.
– Familiarity with booking platforms such as Airbnb, , or HomeAway is advantageous.
– Proficiency in using communication tools and software for virtual collaboration.
– Customer-centric mindset and a passion for delivering exceptional guest experiences.
– Problem-solving skills and the ability to handle challenging situations with diplomacy and professionalism.
– Availability to work flexible hours, including weekends and holidays, to accommodate guest needs.
