Tasks and responsibilities:
Human Resources
Provide clerical and administrative support to Human Resources administrative functions and duties
Compile and update employee records
Process documentation and prepare reports as requested using HRIS
Coordinate HR projects (meetings, training, surveys etc.) and take meeting minutes
Effectively utilize a variety of documented procedures and technology tools to manage and coordinate the administrative processing and execution of assigned time-sensitive HR process activities and transactions.
Audit and maintain data entry for all transactions ensuring the highest level of data quality, integrity, and accuracy.
Coordinating with the Human Resources department to ensure correct employee data
Prepare and maintain documentation, files, and materials in a timely manner.
Compose routine correspondence and spreadsheets/reports as needed.
Managing electronic timekeeping systems or manually collecting and reviewing timesheets
Coordinating with the Human Resources department to ensure correct employee data
Issuing vendor 1099 statements
Effectively execute all duties while balancing the needs of the customer as well as programmatic requirements. Interact with and greet customers in a proactive, friendly, professional, and service-based manner.

Customer Invoicing and Cash Collection
Effectively execute all duties while balancing the needs of the customer as well as programmatic requirements. Interact with and greet customers in a proactive, friendly, professional, and service-based manner.
Prepare the monthly customer invoicing file using Deputy time card records
Review the monthly customer invoicing file to ensure accuracy and reasonableness
Prepare monthly customer invoices based on executed purchase orders and contracts
Use professional judgment to produce accurate customer invoices (i.e. ensure monthly charges are reasonable compared to previous months’ charges prior to invoicing)
Demonstrate an understanding of customer invoicing preferences to ensure smooth and efficient invoicing and collection
Enter monthly customer invoices into Quickbooks Online for review, approval and distribution by the Payroll Manager
Review the Accounts Receivable aging report on a weekly basis and send automated reminders to past-due customers
Perform customer account reconciliation(s) as needed
Other duties as assigned

Job Qualifications:
Microsoft Excel, i.e. pivot tables and V-lookup
Strong numerical aptitude and attention to detail
Excellent communication skills, both verbal and written
Good time management and organizational skills
Able to prioritize and multitask effectively
Customer service focus
Schedule:
Monday to Friday, 8am – 4:30 pm Pacific Time
