As a Remote Assistant / Operations Manager, your primary mission is to ensure our guests have memorable stays and that our vacation rental properties are managed smoothly. Your responsibilities will include:
Guest Communication: Respond promptly to guest inquiries, provide detailed information, and offer assistance to ensure a seamless booking process. Strive to provide a 5-star guest experience by addressing guest concerns promptly and professionally.
Ad Hoc Inquiries: Be readily available during US hours (10am – 6pm ET, 7 days / week) for on-call coverage to respond to ad hoc guest questions and requests, creatively problem-solving when unique situations arise. While not often, this may require speaking with guests on the phone, depending on the situation.
Maintenance and Repairs: Coordinate property maintenance and repairs when needed, ensuring the property is in top-notch condition. This may occasionally require speaking with vendors on the phone.
Create SOPs: Develop Standard Operating Procedures (SOPs) for responding to various guest issues, including but not limited to swapping out propane tanks, responding to urgent repair or cleaning requests. These SOPs will serve as a guide for efficient problem-solving.
Inventory Management: Order supplies as needed and create a comprehensive inventory list for the property. Ensure all essential items are stocked and readily available for guests.
Financial Management: Manage financial aspects, including guest payments, refunds, and security deposits. Keep accurate records of property-related expenses and assist with budgeting.
Marketing and Promotion: Assist with marketing efforts, such as creating property listings, optimizing photos, and managing social media accounts to attract guests and enhance property visibility.
Filing Damage Protection Insurance Claims: Manage the process of filing damage protection insurance claims when necessary. Collaborate with guests and insurance providers to resolve claims efficiently.
Disputing Chargebacks: Handle chargeback disputes by working with banks and Online Travel Agency (OTA) platforms like Airbnb and VRBO. Gather necessary evidence and documentation to support disputes from cleaners and vendors.
Tech Savviness: Utilize technologies such as Asana, Hospitable, OwnerRez, and other tools to manage tasks efficiently and improve guest experiences.

We are seeking a dynamic and highly-organized Virtual Assistant Social Media Manager to manage and execute our social media strategy across multiple platforms. The key objective is to drive subscription growth for our free monthly newsletter. In addition, the role includes marketing our regular meetups, editing and uploading podcasts, sharing blog posts, and community engagement. This role is crucial for the ongoing engagement with our community. Responsibilities:
Newsletter and Blogs:
* Take raw content and create formatted newsletter in Mailchimp
* Leverage AI tools such as ChatGPT to write and refine blog posts and articles
* Design and implement social media campaigns targeted at increasing newsletter subscriptions
* Create a welcome / intro email for new subscribers that introduces them to all the different facets of our community: blogs, meetups, social media, podcasts, etc
* Monitor analytics and generate reports on newsletter growth metrics
Podcast Management
* Edit full-length podcasts for clarity, quality, and engagement.
* Upload edited podcasts to Buzzsprout, YouTube
* Create social media imagery for podcast episodes
* Generate and post short, interesting clips from our podcasts to all social platforms. We will facilitate this process by marking points in the podcast recording that are interesting. We also will provide access to tools like Descript to make this process smoother
* Leverage AI tools to create transcripts and articles from the podcast content; post these to the website and social media channels
Social Media Strategy:
* Define brand voice and objectives for social media to inform what to post
* Develop brand voice and social media graphic standards
* Determine what content resonates with our audience
Social Media Management:
* Help build and maintain content creation and posting calendar
* Maintain and update social media platforms including but not limited to Instagram / Reels, Tik Tok, YouTube / Shorts, Facebook, LinkedIn, and Twitter
* Create and post engaging content aligned with our brand voice and strategy, leveraging content from blogs, podcasts, and meetups
* Share new blog posts on social media platforms with catchy summaries
* Encourage users to visit our website, read the full article, and join our newsletter
* Weekly reporting on social media engagement and effectiveness, with recommendations for improvements
Meetup Coordination & Community Engagement
* Schedule, post, and market regular meetups on and social media platforms
* Create social media imagery for meetups (to advertise) and from meetups (using pictures/videos taken at the events)
* Engage with the community to ensure good turnout and receive feedback for future events
* Engage with our audience/online community on social media and in our Slack group
