Job Description

Tasks:
– The high level job is being a very good coordinator – assigning, following up, and “make sure it gets done” for various ongoing tasks amongst multiple team members
– Take calls, texts, or emails and think critically about what the appropriate response or action should be
– Quick response time, ability to think on their feet
– Adjust pre-set message templates to tailor answers to common questions
– Split & Categorize expenses (credit card charges are populated automatically and VA just needs to organize it)
– Inventory management (ordering), and tracking (such as chasing down unknown expense)
– Sending fund request/invoices
– Data entry and organization
– Coordinate with management and clients
– Responding to client inquiries on Airbnb/VRBO/email/text
– Creating/Revising documents
– Client intake and crosschecking if all information is accurate
– Learn and grow: Meet regularly with manager to summarize customer feedback, ask questions, decide marketing and pricing strategies, provide feedback about the job and increase your training and learning
Qualifications:
– Can think critically, analyze different options, and explain reasoning why any suggestion was recommended; in a clear, organized manner.
– Familiar with booking a hotel, checking-in/out, understanding potential issues, and making other travel accommodations
– bonus (not required) if candidate also knows about (U.S.) home maintenance (plumbing, electrical, A/C, fixing furniture, washer/dryer/refrigerator issues, etc; leaks, mold, paint, etc)
– Hotel / Hospitality type customer service is a plus, not required
– Tech savvy
– Good at double-checking, detail-oriented
– Strong communication & interpersonal skills
– Good with math, to calculate appropriate discounts, and check for errors
Tools that may be used on the job:
– Gsuite (Google sheets, docs, calendar, gmail, Maps); (same as Microsoft Word/Excel)
– Whatsapp, and any future coordination, and project management tools (could be Slack, Trello, Notion, etc)


– Noise Monitor (Minut)
– Google Nest
– Schlage smart locks
– various pool automation apps
– “Google” to find compare and find best solutions (it’s not easy to be good at this!)
