Wil&Co Homes, a Full Service Interior Design & Short Term Rental Co-Hosting Company, is looking for a Virtual Assistant. Are you a highly organized and detail-oriented individual with a passion for hospitality? Our dynamic short-term rental design and property management company is seeking a proactive and efficient Virtual Assistant to join our team. As a Virtual Assistant, you will play a pivotal role in supporting our rapidly growing business, assisting with the day-to-day operations, ensuring smooth communication with guests, managing bookings, and assisting with various administrative tasks. Responsibilities:
Communicate with guests through our property management system (Hospitable)
Answer questions from current, incoming, and inquiring guests using our property information sheet
Ensure all guests have received their access codes prior to arriving at the property
Respond to guests requiring assistance gaining access to the property
Give recommendations of places to eat and things to do that are relevant to the guest
Manage the cleaning and supplies (Turno)
Review cleaning schedule on a daily and weekly basis and confirm with the team
Verify cleaners arrive by 12:30pm EST
Review photos from cleaners to ensure property is complete
Manage supplies and reorder when needed
Process all resolution claims
Coordinate property maintenance
Monitor battery levels (locks and cameras)
Review property video recordings daily to ensure compliance with house rules
Confirm Manual Booking guests deposits are received and logged
Enter Manual Bookings into Property Management System
Create weekly social media posts on Instagram & Facebook
Assist in Administrative tasks related to Design Projects including but not limited to – generating proposals, creating affiliate links and shopping lists
Create and adapt new and existing processes and SOPs, documenting them accordingly
Ad-hoc data entry projects

Results:
Maintain a review rating of 4.8 or higher
Maintain 100% response rate to all inquiries
Maintain response time of 15 minutes or less for all inquiries

Requirements:
Prior experience in guest support with Airbnb
Very strong written and spoken English language
Must be self motivated with the ability to work independently and take initiative
Extreme attention to detail
Outstanding customer service
Excellent typing including speed and accuracy
Ability to problem solve and maintain a good attitude
Read critically
Ability to work with multiple technology platforms like Google Drive, Asana, Google Docs, Google Sheets, WhatsApp
Experience working with Hospitable and Turno

Hours will be from 11a – 7p EST Weds – Mon
