We are seeking a highly organized and proactive Short-Term Rental Virtual Assistant to manage and oversee the daily operations of our short-term rental properties. The ideal candidate will have excellent communication skills, a strong attention to detail, and the ability to provide outstanding customer service to our guests. This role involves a variety of tasks including guest communication, booking management, coordinating with cleaning services, and handling any issues that arise during guests’ stays.
Key Responsibilities:
Guest Communication:
– Respond promptly to guest inquiries via email, phone, and booking platforms (e.g., Airbnb, VRBO, ).
– Provide detailed information about the property, amenities, and local attractions.
– Address guest concerns and resolve issues to ensure a positive guest experience.
Booking Management:
– Manage reservations and ensure calendar accuracy across all booking platforms.
– Coordinate check-in and check-out procedures.
– Send pre-arrival and post-departure messages to guests.
Property Coordination:
– Schedule and coordinate cleaning services between guest stays.
– Arrange for maintenance and repairs as needed, ensuring timely resolution.
– Conduct regular property inspections to ensure high standards are maintained.
Administrative Tasks:
– Maintain records of guest stays, payments, and expenses.
– Prepare reports on occupancy rates, revenue, and guest feedback.
– Assist with marketing efforts, such as updating property listings and social media posts.
Customer Service:
– Provide exceptional service to guests, aiming to exceed their expectations.
– Handle complaints and emergency situations calmly and efficiently.
– Collect and act on guest feedback to continually improve the rental experience.
Qualifications:
– Proven experience as a virtual assistant, customer service representative, or similar role in the hospitality industry.
– Familiarity with short-term rental platforms (Airbnb, VRBO, ) and property management software.
– Excellent English written and verbal communication skills.
– Strong organizational and multitasking abilities.
– Ability to work independently and manage time effectively.
– Proficiency in Microsoft Office Suite and Google Workspace.
– Basic knowledge of property maintenance and local regulations is a plus.
– Experience in digital marketing and social media management is a plus.
– Conflict resolution and problem-solving skills.
– Willing to work in graveyard shift.
