The Role of Document Specialist (Immigration) (Virtual Assistant)

The Documents Specialist (Immigration) (Virtual Assistant) is an independent contributor who reports to the management team of the company directly.

Our company – Best Immigration Singapore, – specialises in assisting expat foreigners living and working in Singapore to apply to the local authorities to become new Permanent Residents & Citizens of Singapore.

Under the direction of the company’s management team, your duties include regular communication with clients and internal stakeholders at all levels.

The position holder will be exposed to the whole spectrum of immigration work in Singapore, in particular, the submission of applications for citizenship and permanent residence (PR). This includes organizing and reviewing all necessary documents and forms to ensure that they are accurate and complete before submission. To ensure that all applications comply with current regulations and policies, the document specialist must also stay up to date on any changes or updates to the application process and requirements. On the job training will be provided by the company cofounder directly.

The role requires a thorough understanding of Singapore’s inbound immigration regulations and policies, as well as the ability to apply that knowledge to provide high-quality, personalized service to each client. Key Responsibilities of Document Specialist (Immigration)
• Handles daily communications with clients and important stakeholders regarding their Singapore immigration application procedures.
• Preparation, documents review and and application draft
• Liaisons with various government agencies (MOM, ICA, EDB, etc.) regarding progress and delays as necessary, as well as Third-Party Vendors to assist the customer with translation and notarization, among other services.
• Ensure the submission of error-free applications to the Immigration & Checkpoints Authority for Long Term Visit Pass (LTVP), Permanent Residence (PR), and Citizenship (ICA).
• To serve as each allocated client’s point of contact for the duration of their application process, from document gathering to formalities fulfillment, primarily but not solely: Pre-submission, post-submission, and/or post-results
• Communicates with clients to arrange for the completion of application packages or the collection of documents
• Handles databases for clients and documents.
• Meets the Management’s monthly KPIs
• Get the most recent information on Singapore immigration issues by doing some research.

Qualification and Preferred Experience
• Diploma/ Advanced / Higher / Graduate Diploma in any field
• Experience managing a diverse clientele in a related government agency, such as the Immigration & Checkpoints Authority (ICA) or the Ministry of Manpower (MOM), or in the document procurement and/or immigration application industry.
• Capable of working methodically within set deadlines
• Able to effectively translating clients’ perspectives and/or requests into articulate and sound documents within ICA’s reviewing standards.
• Capable of working independently and setting priorities for tasks while keeping client delivery expectations and service standards in mind.
• Ability to produce clear, well-organized documents with a natural attention to detail and excellent writing skills
• Language skills: Proficiency in English and Chinese is preferred, although knowledge of other languages is also helpful.
• Writing skills: English writing proficiency is a must, as is the ability to write effective, personalised emails that cater to each client’s wants and inquiries.
• Computer skills: Microsoft Office and Adobe PDF

We are a company called Best Immigration in Singapore looking for a virtual assistant to assist us in the application process of helping our clients apply for Singapore Citizenship and Permanent Residency here in Singapore with online portals and document submissions.

Your job scope will be to

– Create Whatsapp Group Chats with Clients
– Follow Up with them on applying for citizenship or permanent residency online
– Reply to clients concerns on Whatsapp
– Keep them in the loop with the application process
– Collect any relevant documents so that the submission is done successfully online.

Depending on how many clients we bring in monthly, you will be given a base pay of $400 + $10-$20 Per Successful Application done

We expect to help at least 10-50 Clients apply per month typically.

We only ask you reply to clients on Whatsapp as fast as possible and keep our CRM neat and tidy

Please DO NOT apply if you have

– regular electricity and wifi outage
– fall sick easily and need off days often (you are entitled to taking off days)
– have sick loved ones that you need to take care of often (you can always take time off if its an actual emergency)

You will be on probation for the first 3 months and you base pay will be 400$ and if we hit 10 successful applicants, you will be given the bonus commission as well.
