Job Description: Virtual Assistant for BehindtheAces
BehindtheAces is seeking a highly organized, efficient, and self-motivated Virtual Assistant to support our growing team. As a Virtual Assistant, you will perform a variety of administrative tasks and support our company’s senior-level managers. Your role is to contribute to the efficiency of our business by providing personalized and timely support to executive members.
Responsibilities:
– Email Management: Filter and manage the inbox of senior-level managers. Respond to emails, manage appointments, and ensure all communications are replied to promptly.
– Calendar Management: Organize and schedule meetings and appointments. Provide reminders to executives to ensure they are prepared for all engagements.
– Social Media Management: Assist in managing social media accounts by scheduling posts, responding to comments, and engaging with the community.
– Content Preparation: Assist in preparing presentations, reports, and documents. Proofreading content for clarity, grammar, and spelling.
– Research: Conduct market research or gather information as needed to support decision-making.
– Data Entry and Database Management: Maintain and update databases and CRM systems, ensuring all information is accurate and up to date.
– Customer Support: Handle customer inquiries via email or social media, providing high-quality support, and escalating issues when necessary.
– Vendor and Contractor Liaison: Communicate with vendors and contractors to ensure products and services are delivered on time and by company standards.
– Travel Arrangements: Plan and book travel, including flights, accommodation, and itineraries for senior team members.
– Expense Management: Assist with the tracking of expenses and help prepare expense reports for reimbursement.
– Project Assistance: Support various projects, ensuring tasks are completed within deadlines and project goals are met.
Qualifications:
– Proven experience as a Virtual Assistant or in a similar role.
– Excellent written and verbal communication skills in English.
– Strong organizational skills and the ability to multitask effectively.
– High degree of attention to detail and discretion when handling confidential information.
– Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and various social media platforms.
– Familiarity with project management tools (e.g., Asana, Trello) and CRM software.
– Ability to work independently, manage time effectively, and meet deadlines.
– A positive attitude, with the willingness to take initiative and go the extra mile.
