The Security Operations Specialist will play a crucial role in managing the day-to-day operations of security staff, including armed and unarmed security guards at various locations throughout the state of New Jersey. This position will involve utilizing a software program for scheduling and coordinating shifts, monitoring guard activities, addressing technical issues, and ensuring compliance with reporting requirements. The Security Operations Specialist will be responsible for maintaining efficient operations, resolving scheduling challenges, and ensuring the security protocols are followed.
Responsibilities:
Scheduling and Coordination:
– Utilize the scheduling software program to manage and organize the shift schedule for approximately 185 security employees across 60 active sites.
– Monitor and address any technical glitches or issues with the scheduling app on guards’ phones to ensure accurate clock-in and clock-out records.
– Generate and distribute shift notifications, or “blasts,” to eligible guards based on their qualifications, availability, and proximity to the sites needing coverage.
– Communicate with guards to confirm their understanding of assigned shifts, provide necessary information about locations and specific responsibilities, and ensure compliance with post instructions.
Monitoring and Reporting:
– Regularly review reports submitted by security guards, ensuring they adhere to the required reporting standards.
– Conduct thorough review and analysis of reports in the morning and ideally throughout the day to identify any discrepancies, gaps in reporting, or deviations from protocols.
– Take immediate action to address any issues or violations observed in the reports, such as guards not checking in on the app, leaving the site without permission, or failing to maintain required activity logs.
– Maintain accurate records and documentation related to guard activities, incidents, and any disciplinary actions taken.
Operational Efficiency:
– Continuously assess and improve the effectiveness of the scheduling and reporting processes, identifying areas for streamlining and automation.
– Collaborate with the management team to develop strategies for enhancing overall security operations, including optimizing guard deployment, addressing staffing gaps, and ensuring appropriate training and certifications.
– Communicate and coordinate with site supervisors and security personnel to ensure smooth operations, resolve issues, and address any emergent security concerns.
Requirements:
Education and Experience:
– High school diploma or equivalent.
– Prior experience in security operations, scheduling, or related field is preferred.
Technical Skills:
– Proficiency in using scheduling software programs and mobile apps.
– Ability to navigate technical glitches and troubleshoot issues related to the scheduling app effectively.
– Strong computer skills, including familiarity with data entry, report generation, and documentation management.
Communication and Interpersonal Skills:
– Excellent verbal and written communication skills to effectively interact with guards, supervisors, and management.
– Strong organizational and multitasking abilities to manage multiple sites, schedules, and communication channels simultaneously.
– Ability to remain calm and composed in high-pressure situations and effectively resolve conflicts or issues that may arise.
Attention to Detail:
– Meticulous attention to detail to ensure accurate scheduling, reporting, and compliance with security protocols.
– Strong analytical skills to identify patterns, trends, and deviations from expected guard activities.
Flexibility and Availability:
– Willingness to work non-traditional hours and be available to address scheduling and operational issues that may occur during off-hours or in emergency situations.
