Job Description

A Team Manager helps set the vision and culture of their teams by setting individual and team performance expectations/goals, maintaining focus on improving client satisfaction, and identifying client impacting issues and implementing dynamic solutions.

People Management Responsibilities:
– Leading, coaching, and guiding a team of 20-30 VA’s; responsible for the overall performance management, coordination and evaluation of the team
– Achieve performance goals and objectives
– Mentoring new managers and as well as employees with high growth potential
– Communicate policies and new processes to VA’s as the primary information source for staff
– Ensure compliance and consistency; corrective action and documentation
– Responsible for employee timesheets/Toggl; Attendance as needed and includes daily report from VA’s

Business/Operations Management Responsibilities:

– Regularly document, collect, and store client needs, responsibilities, and tasks performed by VA’s
– Management of quality and client experience
– Troubleshoot and address issues relating to process and client concerns/feedback
– Build a VA backup system within the team to cover for absenteeism and serve as a backup when necessary
– Responsible for quality and productivity of assigned team
– Develop and achieve performance goals and objectives
– Identify client issues, build and implement solutions to include process improvements
– Identify and eliminate barriers to accuracy, productivity, and quality
– Able to create a plan, communicate requirements, negotiate priorities, and clarify what success looks like

Preferred Qualifications

– People Management Expertise (Recent Role): A minimum of 4 years experience in leading and managing teams, with a demonstrated ability to inspire, mentor, and guide team members. This includes experience in conducting performance evaluations, setting clear expectations, providing constructive feedback, and promoting professional growth.

– Results-Oriented Approach: A history of delivering consistent and measurable results in a fast-paced environment. The candidate should possess a keen understanding of key performance indicators (KPIs) and a proactive approach to achieving and exceeding targets.

– Effective Communication: Excellent communication and interpersonal skills, enabling the candidate to collaborate effectively with team members, peers, and upper management. This includes the ability to convey complex information clearly and concisely.

– Problem-Solving Acumen: Adept at identifying challenges, analyzing root causes, and implementing effective solutions. The candidate should be comfortable making data-driven decisions and adapting strategies to optimize team performance.

– Leadership by Example: A role model who leads by example, exhibiting a strong work ethic, professionalism, and a positive attitude. The candidate should inspire team members to excel and foster a collaborative and inclusive team culture.

– Adaptability and Flexibility: Able to navigate and lead through change, remaining adaptable and flexible in a dynamic environment. The candidate should be comfortable with ambiguity and adept at managing shifting priorities.

– Resource Management: Proficient in managing resources efficiently, including budgeting, resource allocation, and workload distribution. This ensures that team objectives are met while optimizing resource utilization.

– Continuous Improvement Mindset: A commitment to continuous learning and improvement, seeking out opportunities to enhance team processes, workflows, and methodologies.
