Job Description

I am looking for an experienced Virtual Assistant who is tech-savvy and detail-oriented for my online coaching business.

I am an Online Business Coach working with nutrition entrepreneurs globally, empowering them to build thriving online businesses leveraging the power of digital courses and programs using social media marketing.

I am based in Australia and we’re looking for a hard-working, honest, and reliable VA Superstar to join our fast-growing business. All our staff works remotely and the ideal candidate should be driven, tech-savvy, be fluent in written & spoken English, and with strong attention to detail to support me and my clients in the day-to-day admin tasks.

Tasks includes:

– Client Onboarding + Offboarding: Preparing client agreements, sending payment links, CRM management, Trello/Notion board management for clients, testimonial requests.

– Scheduling appointments: You must have experience with Acuity & be able to work out timezone differences for our global client base

– Inbox management daily (respond to emails within same business day)

– Graphic Design: Create graphics on Canva

– Facebook Group Management: Approving requests, scheduling weekly posts

– Upload and schedule email marketing content to ActiveCampaign

– Proof-reading of landing pages, lead magnets and general marketing assets

Core tech platforms/apps we use in our business:
– Kajabi
– ActiveCampaign
– Slack
– Trello & Notion
– ClickUp
– Acuity
– HelloSign/Dropbox Sign
– Google Workspace / Google Docs + Google Sheets
– Loom
– Canva
– Airtable
– Instagram, Facebook, Pinterest, Youtube
– Typeform
– Showit

The ideal candidate must have a proficient working knowledge of Kajabi, Instagram, Canva and ActiveCampaign. Training + SOPs will be provided so you are supported to complete your daily tasks.

Other requirements:
– Reliable, trustworthy and strong work ethic
– Speaks fluent English with C1 Proficiency (Advanced)
– Super organised with strong attention to detail and ability to work under minimal supervision
– Demonstrate strong initiative and be an action-taker
– Tech-savvy and willingness to learn new software we use
– Ability to take on constructive feedback and improve

We upload a high standard of service for our clients and we move fast. This is a great job with plenty of work available, so you must be willing to commit long-term and go-all in. Starts at 20 hours/week, with the view of increasing hours and responsibilities for the right candidate.
