Job Description

We are a small property management company, supporting community associations, and residential property management. We are looking for an experienced property manager, that can assist with HOA support and Residential Support.

The Business Operations Lead, (Accounting and Customer service) Supervisor has a critical role in supervising the Accounting and customer service team with day-to-day oversight for the general customer service practices, but most importantly focusing on accounting, billing, payment systems, financial analysis, financial reporting, and internal/external audits as well as ensuring accuracy and consistency of these functions.

Supervision. Supervises contractors and the day-to-day operations of the customer service and account activities. Supervises in the preparation of monthly and quarterly reports in addition to ad hoc reporting. Responsible for engaging with teams and serving as a backup, when necessary. Creates an environment which encourages high motivation and efficiency amongst the team. Evaluates the job performance of direct reports in a timely manner to ensure quality of work and service to all members. Provides on-going coaching, development, and training to direct reports. Ensures are cross-trained and equipped with the necessary resources to advance in their career path. Assists in the hiring process, which includes interviewing and evaluating candidates.

Accounting. Ensures that the accounting records of the company and clients are maintained accurately and in compliance with all applicable laws and regulations. Ensures the general ledger is balanced and reconciled at all times. Conducts special accounting studies, analyses and cost studies. Develops and evaluates policies and procedures that are consistent with the financial principles of the department and are aligned with all applicable regulatory requirements. Streamlines accounting processes and procedures to maximize efficiencies of people and processes.
Financial Reporting and Analysis. Reviews, validates, and approves monthly financial statements. Supervises condensed financials on a monthly basis. Responsible for internal and external financial reporting. Prepares monthly departmental statistic reports.

Customer Service/Client Services. Ensures team members respond to client inquiries in a timely manner. Assigns emails and coordinates with applicable team members to ensure timely responses. Responds to questions and/or provides information upon request from internal and external members and clients.

Problem Resolution. Serves as the first level of escalation. Troubleshoots and handles escalated issues through the point of resolution. Coordinates with company owners and or property managers for complex issues (level 2 escalations)
Personal Accountability. Takes accountability and ownership for personal and team development. Efficiently completes assignments and job duties. Proactively communicates with management and asks questions as appropriate.
Other Duties as Assigned. Performs other duties as assigned by accounting management.

Position Requirements
This position requires a BA in Accounting, Finance or Related Field along with a minimum of 3 years’ experience applying accounting principles and resolving complex accounting problems using judgment in the interpretation of guidelines and government regulations covering the field of accounting. This position also requires a minimum of 3 years of supervisory experience, preferably in a real estate, property management and or community association management
