Job Description

JOB DESCRIPTION:
Transaction Coordinator:

Prepare and compile offer documents.
Manage all buyer and seller transactions from the execution of the purchase agreement to closing.
Create or maintain a transaction checklist or system to ensure efficient transaction management.
Coordinate inspections, title/escrow processes, mortgage loans, and appraisals.
Maintain regular communication with clients, agents, title officers, lenders, and other stakeholders.
Provide weekly transaction updates to buyers and sellers.
Submit all required documentation to the office broker for compliance.
Prepare commission statements in KW Command for DA creation.
Collect utility and maintenance information from the seller for the buyer.
Schedule and coordinate moving, final walkthroughs, and closing activities.
Implement a post-closing plan for buyers and sellers once the transaction is complete.
Enter all client information into KW Command and KW Opportunities..
Assistance for Listing Manager:
Assist in creating listing paperwork and agency agreements.
Help create and post listings on MLS.
Help create and post commercial listings on Crexi and Loopnet
Prepare listing documents (disclosures, HOA documents, etc.).
Schedule home photoshoots and open houses.
Arrange showings and gather feedback.
Manage MLS listings, including status and price changes.
Coordinate offers and update MLS statuses.
Request HUD/Settlement Statements from Title Company.
Extract data for and present weekly seller CMA reports.
Assist in creating CMA’s..
Send pre-listing packages and ensure client info is KW Command.
Keep listing checklists up to date and prepare listing documents.
Coordinate staging and lockbox keys with sellers.
Update active and pending listings in spreadsheets.
Notify sellers when listings go live and monitor showings.
Enter and share showing feedback.
Email sellers about open house details and advertise open houses.
Follow up with agents and sellers for open house feedback.
Provide weekly marketing updates and manage client communications.
Transition files to the transaction coordinator once under contract.
Assistance for Administration
Post new listings on Facebook
Assist in maintaining E-mail drip campaigns
