We are seeking a detail-oriented and proactive Virtual Transaction Coordinator Assistant to join our team. As a Virtual Transaction Coordinator Assistant, you will be responsible for managing the administrative aspects of real estate transactions, ensuring smooth and efficient processes from contract to closing. This role is crucial in maintaining clear communication among clients, agents, our in house transaction coordinators, lenders, and other parties involved in the transaction.
3 Main Responsibilities
Administrative Support for In House Transaction Coordinators
Client Engagement and Communication
Oversee Compliance of Contract
Key Responsibilities:
Transaction Management: Oversee all aspects of the transaction process, including contract preparation, scheduling inspections, appraisals, and closings, and ensuring adherence to deadlines.
Document Management: Organize and maintain transaction files, ensuring all documents are complete, accurate, and compliant with regulations.
Communication: Serve as a secondary point of contact for all parties involved in the transaction, providing updates, addressing inquiries, and resolving issues promptly and professionally.
Coordination: Coordinate with in house transaction coordinators, real estate agents, title companies, lenders, and other stakeholders to facilitate a seamless transaction experience.
Deadline Management: Monitor timelines and deadlines, proactively identifying potential bottlenecks and taking necessary steps to keep transactions on track.
Quality Assurance:Conduct thorough reviews of all transaction documents to ensure accuracy and compliance with company policies and industry regulations
Technology Utilization: Utilize real estate transaction management software and other digital tools effectively to streamline processes and enhance productivity.
Reporting: Generate regular reports on transaction status, key metrics, and performance indicators for management review.
Additional Tasks: Assist with additional administrative tasks and special projects, as needed.
Requirements
3-5 year experience as a transaction coordinator or similar role in the real estate industry
1-2 year experience with Open to Close*
1-2 years experience with Follow Up Boss*
Proficiency in Google Drive and Skyslope
Excellent communication and interpersonal skills
Strong organizational and multitasking abilities
Attention to detail and high level of accuracy
Ability to work independently and manage time effectively in a remote work environment
Knowledge of real estate contracts, regulations, and processes (TN and KY preferred)
