Job Description

Adventure Life is a leader in small ship cruises and tailor made trips around the world. Based in the United States, we are now hiring long term independent contractors to assist senior agents with pre and post trip services. Each assistant will be assigned to one or two Senior Trip Planners to support them in pre-booking and post-booking tasks such as reservation fulfillment, checking availability, placing holds with suppliers, and preparing quotations per requests by the senior agent. Former Travel Industry or customer service experience is strongly recommended.

The majority of responsibilities involve reservation fulfillment. Such duties include:

*Ensuring that all trip details from flights to transfers to client data is appropriately understood and communicated to their suppliers around the world. This includes basic data entry of itinerary and customer details into their travel management system.

*Confirming services with suppliers and making minor adjustments in itineraries per supplier constraints and customer requests.

*Obtaining, checking and uploading relevant supplier bills for the finance department.

*Answering customer routine questions via phone, email and chat. Editing and finalizing customer travel documents.

*Providing general data maintenance on their website and email templates regarding changes in entrance requirements to countries, hours of operation of sites, transfer times, etc.

*Being on call at least one week per month is also required to support their emergency phone line.

Expectations:
*Must register as an Independent Contractor with the Bureau of International Revenue in the Philippines.
*Requires 40 hours per week during our US office hours, typically M-F 7am to 7pm Mountain Time.
*Required to provide your fast internet access that meets the company’s requirements (min 25 mbps), with possible backup internet highly recommended.
*Required to purchase and maintain your own computer hardware that meets the company’s requirements.
*Must have a quiet workspace in your home
*Experience with the cloud platforms we use is helpful – GMail, Google Docs, Google Sheets, Salesforce CRM, RingCentral Phone, Zoom Meetings, Cliq Messenger, Skype.

In general, the ability to work with little guidance and learn new skills independently is vital to success as a Trip Planner Assistant. Excellent English skills are paramount for efficient communication with customers via email, phone, and online chat. And of course, the successful candidate must be organized to address hundreds of accounts at once. A typical day involves managing several dozen emails with overseas outfitters, conversing with clients about upcoming trips, and continual research to stay informed about the destinations. Problem-solving and customer service skills are necessary.
