Job Summary:
As a Remote Travel Booking Assistant working your role includes the monthly coordination of travel to and from the UK, primarily from Asia, for a specific client. Beyond understanding your client’s preferences, you’ll leverage your expertise to secure the best prices for flights, hotels, car rentals, and train transfers. Proficient in frequent flyer programs, you’ll craft seamless itineraries, ensuring a delightful and efficient travel experience. Working remotely, you’ll communicate mainly through Asana, Whatsapp and Zoom to provide unparalleled service.
Key Responsibilities:
Client Relationship:
Develop a deep understanding of the client’s travel preferences, budget lifestyle, and expectations.
Maintain clear and timely communication with the client, ensuring a personalized and attentive service.
Monthly Travel Coordination (to the UK)
Organize and coordinate all monthly travel arrangements to and from the UK, primarily from Asia, ensuring smooth transitions and timely arrivals.
Consider factors such as preferred airlines, optimal travel times, and any specific requirements related to frequent travel.
Travel Planning:
Suggest itineraries, considering the client’s preferred destinations, accommodation standards, and transportation preferences.
Utilize your expertise to find the best prices for flights, considering both the monthly trips and additional travel requirements.
Check all Visa requirements before travel and arrange if necessary.
Hotel Booking:
Source and book accommodations tailored to the client’s preferences, ensuring a balance between comfort, amenities, and cost-effectiveness.
Car and Train Transfers:
Coordinate seamless ground transportation, including car rentals and train transfers, aligning with the client’s schedule and preferences.
Optimize routes and modes of transportation for efficiency and comfort.
Frequent Flyer Program Management:
Possess a thorough understanding of various frequent flyer programs.
Strategically leverage these programs to maximize benefits, including upgrades, lounge access, and mileage accumulation.
Best Price Assurance:
Utilize your skills in research and negotiation to secure the best prices for all travel services, considering the monthly travel and other adhoc requirements.
Problem Resolution:
Proactively address any issues or concerns related to bookings, changes, or cancellations.
Speaking to airlines direct to resolve issues quickly.
Act as the dedicated point of contact for all travel related issues.
Documentation and Record Keeping:
Maintain meticulous records of the client’s travel history, preferences, and all booking details.
Ensure compliance with privacy regulations and client confidentiality.
Submit Expense claims for travel through various companies and ensure they are refunded.
Qualifications:
Previous Experience: Prior experience in personalized travel planning, concierge services, or a related field is advantageous.
Communication Skills: Exceptional verbal and written communication skills.
Frequent Flyer Program Expertise: In-depth knowledge of frequent flyer programs and the ability to leverage them for client benefits.
Monthly Travel Coordination: Proven ability to organize and coordinate travel.
Best Price Assurance: Proven ability to find the best prices for flights, hotels, car rentals, and train transfers.
Technology Proficiency: Familiarity with online travel platforms and proficiency in using communication tools.
Attention to Detail: High accuracy in managing intricate travel details and itineraries.
Customer Focus: A commitment to providing unparalleled customer service and exceeding client expectations.
Work Environment:
This role is on an adhoc basis, providing flexible support based on the client’s travel needs, including monthly travel to and from the UK. A stable internet connection and a suitable workspace are essential. Given the nature of adhoc services, flexibility in working hours is crucial to accommodate the client’s schedule, including weekends and evenings.
