At Aaron’s Photo Tours, we specialize in meticulously crafted small group and private photography experiences to some of the world’s most breathtaking wildlife destinations. We are seeking a highly organized and detail-oriented individual to join our team as a Part-Time Travel Coordinator Assistant.

In this role, you will support our travel coordination efforts by handling various administrative tasks and assisting with trip planning. This is an exciting opportunity to be part of a dynamic travel team and contribute to creating memorable experiences for our clients. Responsibilities:
-Trip Logistics Support: Assist in coordinating logistics for trips by working closely
with our travel vendors and internal team to make reservations. This includes dinner reservations, transportation arrangements, boats, activity bookings, internal flights, and other travel-related services. Ensure timely and accurate bookings while adhering to company policies and budgetary guidelines.
-Creating Trip Documents: Prepare and organize necessary trip documents, including itineraries, pre-departure briefs, preliminary documents, and rooming lists. Collaborate with team members to ensure all relevant details are included and easily accessible.
-Proofreading Client Bookings: Review and proofread client forms, such as booking forms, flight forms, and signed terms and condition forms. Identify and correct any errors or inconsistencies, ensuring that all are completed in a timely manner.
-Client Communication: Serve as a point of contact for clients on specific trips assigned, addressing inquiries, providing travel information, and offering exceptional customer service. Maintain clear and professional communication via email, and phone interactions. You must be able to communicate at a high level to clients at all times.
-Administrative Support: Assist with general administrative tasks, such as data entry, and maintaining travel databases in . Contribute to maintaining a well-organized and efficient process.
-You may also be requested to handle ad-hoc tasks and assist with additional responsibilities as needed, contributing to the smooth operation of our travel coordination services.

Qualifications:
-Proficiency in speaking English, particularly for crafting professional emails and creating detailed documents.
-Previous experience in travel coordination or a related field is preferred. Excellent organizational skills with exceptional attention to detail.
-Strong communication skills, both written and verbal.
-Proficiency in proofreading and editing documents.
-Ability to prioritize tasks and manage time effectively.
-Familiarity with travel booking systems and online travel platforms is an advantage.
-Proficiency in MS Office Suite (Word, Excel, Outlook) and other relevant software.
-Customer service-oriented mindset with a friendly and approachable demeanor.
-Ability to work independently and collaboratively within a team. Passionate about travel is a plus!
-Be adaptable and flexible to constantly changing requirements dictated by client-driven or other factors.

Compensation and Benefits:
This is a part-time position with a weekly commitment of 20 hours. The specific work schedule will be discussed during the interview process.
