Job Description

Hello!

We’re looking for someone to work with us for the long term to manage our IT systems and day to day operational tasks

We’re looking for someone who is:
– Self Motivated
– Able to manage work by themselves
– Meticulous
– Have great communication skills

Work will be remote and we will converse over Zoom. So here are some further technical requirements:
– You need to have a good internet connection
– You’re able to meet with us during Singapore working hours

Technically, we need someone with the following skills:
– You’re familiar with WooCommerce as an Administrator/Shop Manager
– You’re familiar with LearnWorlds and Thinkific as an Administrator
– You’re familiar with ActiveCampaign CRM
– You’re familiar with Zapier integrations and automations
– You’re familiar with Google Workspace Suite of applications

Here’s the job scope:
1. Ensuring IT systems are operational and enables the organisation to meet its overarching objective.
2. Each system meets its functional role and operates at the right level of performance to fulfill it’s targets
3. Maintenance of systems to ensure they will remain operational and secure
a. Software components up to date
b. Integrations between systems
c. Spam prevention
4. Resolution of issues that prevent the systems from operating normally
5. Supporting the users when the system does not perform normally
6. Aliasing with vendors to resolve the issues encountered
7. Supporting the objective of the website which is to attract potential clients and retain existing clients
8. Research when needed for new initiatives that support the organisation in achieving its goals
a. May include new functionality/automation requests requiring research and validation.
9. Organisation of all DNA (protocol) documentations within the division

These specific skill sets below are strongly preferred (if no skill sets in any of these areas, then an ability to self-learn is required, training and video guides are provided whenever possible):

WooCommerce (eCommerce)
– Able to create products (programs) and troubleshoot Woocommerce shop issues (WordPress plugin)
– Integration to ActiveCampaign lists upon purchase of programs
– Able to create and update pages (Elementor & WPBakery plugin)
– Able to support common user issues/complaints like the following:
– Unable to login
– Unable to complete order
– Maintaining website availability
– Check and reduce storage consumption on WPEngine
– Manage domain names and Cloudflare DNS

Ensure integrations to external systems and troubleshooting/liaising with vendors when issues encountered
– WooCommerce Orders ? Xero Invoice
– WooCommerce Gravity Forms ? ActiveCampaign List
– WooCommerce Products ? LearnWorlds Courses

ActiveCampaign (CRM)
– Building of new pipelines for new programs/events, updating ActiveCampaign pipelines
– Building of new automations for upcoming programs (welcome and pre-program reminder emails)
– Create mass mailing campaigns
– Customising email content/templates
– Setting up contact list for campaign
– Provide technical support to ensure WooCommerce website and ActiveCampaign integrations are working

LearnWorlds/Thinkific (eLearning Platforms)
– Create/update/maintain programs/courses (content provided)
– Maintain/update the UI look and feel to ensure consistency
– Manage client enrollments and completions

Zapier (Automation)
– Maintain GSheet to ActiveCampaign Zaps (automations)

Notion (Documentation & Tasks)
– Able to use Notion for task tracking and archiving information for reference
