Hours:
Part-Time (3 hours per day), GMT 10am – 1pm, with the possibility of extended hours as the business grows.
Key Qualities We Are Seeking:
• Proactive self-starter
• Excellent English communication skills, both written and spoken
• Experience with Microsoft Office and Microsoft Teams
• Availability for 15 hours of work per week (three hours per day) with your chosen set hours between 9am – 5pm GMT, Monday to Friday
• Enthusiasm to contribute to our dynamic and collaborative team
A typical day in this role involves:
As an Executive Assistant, you will play a pivotal role in ensuring the smooth operation of our daily activities. Your responsibilities will include, but are not limited to:
• Morning Meetings: Attend morning meetings with the Managing Director or Client Executive to discuss priorities and tasks for the day.
• Email and Diary Management: Take charge of the Managing Director’s email inbox and diary, ensuring timely responses and efficient scheduling.
• Admin Support: Provide administrative support as required to the UK team, assisting with document preparation, filing, and other organizational tasks.
• Client Communication: Collate and respond to client WhatsApp messages, maintaining a high level of professionalism and customer service.
• Meeting Minutes: Record and distribute meeting minutes to ensure clear communication and accountability within the team.
• Client Onboarding: Support the client onboarding process by assisting with contracts and documentation as required.
• Supplier and Agency Liaison: Act as a point of contact for suppliers, such as printers, and external agencies, facilitating effective communication and collaboration.
• Social Media Scheduling: Check and manage social media profile schedules to ensure our online presence remains consistent and engaging.
• Ad Hoc coordination of small projects (such as business card designs) alongside our UK based Client Executive
• Ad Hoc Market Research: Conduct ad hoc market research to support our marketing strategies and business development efforts.
