Job Description

4ocean is looking for an experienced Executive Assistant to report to one of our Directors. We are looking for a long-term fit with someone who is focused on personal growth, delivering results, and has a passion for the ocean and environment. The ideal candidate must have 4 years of experience as an Executive Assistant for a US or Canada-based individual. Responsibilities:

Managing the executive’s calendar, including scheduling and coordinating appointments, meetings, and travel arrangements.
Screening and prioritizing phone calls, emails, and other correspondence for the executive.
Handling sensitive and confidential information with the utmost discretion.
Preparing and editing documents, presentations, and reports on behalf of the executive.
Conducting research and providing background information for meetings and presentations.
Coordinating and organizing events, conferences, and other professional engagements.
Assisting with project management tasks, including tracking progress, deadlines, and deliverables.
Maintaining and organizing files, records, and documents, both electronic and physical.
Liaising with internal and external stakeholders, including clients, partners, and employees.
Taking minutes during meetings and distributing them to relevant parties.
Managing office supplies, equipment, and facilities to ensure smooth operations.
Providing administrative support to the executive, such as expense management and invoicing.

Qualifications:

Proven experience as an executive assistant or in a similar role.
Excellent organizational and time management skills.
Strong written and verbal communication abilities.
Proficient in using productivity tools and software, such as Microsoft Office Suite.
Ability to handle multiple tasks and prioritize effectively in a fast-paced environment.
High level of professionalism and discretion when handling confidential information.
Strong attention to detail and accuracy.
Excellent interpersonal skills and the ability to work effectively with diverse individuals.
Flexibility and adaptability to changing priorities and deadlines.
Proactive mindset and the ability to anticipate needs and take initiative.
Knowledge of GSuite, Canva a plus
