(1) Identifying, securing, getting approval from the team, and implementing a corporate insurance policy for the BM HQ team; and future maintenance (renewal, claim filings, etc)
(2) Identifying, communicating with, and getting quotes from the selected branding and marketing agencies, contractors, and freelancers for improving and maintaining Brightmoat’s website
(3) Procuring stationary and corporate merchandise such as business cards, t-shirts, mugs, etc
(4) Organizing and procuring personal gifts for our key clients and partners on their birthdays and corporate milestone
(5) Managing the infrequent inbound communication from our website/LinkedIn pages and assigning the relevant team members to respond/action on the inbound messages
(6) Booking participation in business conferences and researching/resolving any questions the team has on the content or logistics of the conferences.
(7) Organizing corporate retreats, including both the logistics and the agenda
(8) Organizing relocation, storage spaces, and co-working spaces for our remote team
(9) Booking hotels, as well as air, train, and other tickets*
(10) Organizing the visa application for business purposes (conferences, meeting with partners and potential customers, etc.)
(11) Contacting car vendors to secure different options for the CEO’s car allowance and managing any insurance claims, etc
(12) Onboarding new employees with certain administrative tasks
(13) Managing the Google Contacts database of the Group
(14) Updating and saving information on BM’s investments into dedicated Notion and Gdrive databases
(15) Moving monthly invoices from one main g-drive folder to company-wise subfolders on a monthly basis upon receiving confirmation from the finance team.
(16) Saving the bank statements upon receipt from the finance team into our G-drive folder and notifying our bookkeeping partners on a monthly basis.
(17) Organizing the team’s Asana and creating follow-up Slack messages on the pending tasks
What would a typical day in this role look like?
Based on the weekly goals set together with the BM HQ team, as well as the CEO individually, you will set your tasks for the day in the morning.
Your tasks for the day might include:
– Book an entry for a business conference for the CEO in Atlanta US
– Prepare the possible flights and hotel options, and then book them
– Contact insurance providers for the executive team for quotes and summarise them in a Notion database
– Check which car leasing options the CEO can take in Budapest
– Book lunch spot in Madrid for the CEO and key partners, and notify them of the venue and time
– Arrange a plumber to come to the CEO’s flat in Budapest
– Book a flight to Singapore for the CEO and notify the Senior Finance Manager

– Resourcefulness and the ability to solve hard problems (in different languages) on your own

– Manners, etiquette, and professional communication with our important partners
– Meticulous and high attention to detail in document handling, and a good organizer.
– Be flexible to accept any last-minute changes, and have a can-do attitude.
– Strong desire to automate repetitive tasks
