Job Description

We are seeking a highly organized and detail-oriented Virtual Executive Assistant to support one of our client – a CEO whose a seasoned brand marketer with over 20 years of experience building Consumer Packaged Goods (CP) brands. The CEO is currently consulting for 7+ direct-to-consumer companies in their marketing efforts. As a Virtual Executive Assistant, you will be responsible for managing both personal and company-related activities for the CEO. The ideal candidate will have excellent attention to detail, outstanding communication skills, and the ability to work independently.

Responsibilities:
Manage and maintain the CEO’s calendar, including scheduling meetings, appointments, and events
for multiple direct-to-consumer companies
Attend meetings and take detailed notes, ensuring the CEO is informed of key points and action items
Help manage deadlines and prioritize tasks to ensure the timely completion of projects across multiple
client engagements
Assist with invoicing, expense tracking, and budget management for consulting projects.
Coordinate travel arrangements, including flights, accommodations, and transportation.
Handle email correspondence and draft professional communications on behalf of the CEO
Conduct research and gather information as requested for marketing initiatives.
Assist with personal tasks, such as appointment scheduling and errand coordination.
Perform other administrative tasks as needed to support the CEO and their consulting engagements.

Requirements:
Must be available to work during Pacific Standard Time (PST) hours
Previous experience as an Executive Assistant or similar role, preferably in a remote capacity
With a Marketing or Social Media Management background or a creatives background
Excellent written and verbal communication skills
Exceptional attention to detail and strong organizational skills
High level of discretion and ability to maintain confidentiality
Proficiency in Microsoft Office Suite, Google Workspace, and other relevant software
Familiarity with project management tools like Trello, Asana, or Basecamp is a plus. Ability to work independently with minimal supervision while still being a team player
Flexible and adaptable, with a willingness to take on new tasks and responsibilities as needed
