Job Title: Executive Legal Assistant
Job Summary:
The executive legal assistant provides high-level administrative support to lawyers, executives, and legal teams, ensuring smooth operation within the legal department. This role involves managing schedules, organizing meetings, preparing legal documents, and maintaining confidential information.
Responsibilities:
Administrative Support:
Manage executives’ calendars, including scheduling appointments, meetings, and conferences.
Arrange travel accommodations and itineraries for legal professionals.
Handle incoming calls, emails, and correspondence, prioritizing urgent matters.
Maintain electronic and paper filing systems, ensuring accurate and timely document retrieval.
Document Preparation:
Draft and format legal documents, including contracts, briefs, memos, and correspondence.
Proofread and edit legal documents for accuracy and completeness.
Prepare and file legal forms, such as court documents and client agreements.
Assist in document production for court proceedings, trials, and depositions.
Research and Analysis:
Conduct legal research using online databases and resources.
Compile relevant case law, statutes, and regulations for attorneys’ reference.
Summarize legal documents and findings for use in case preparation and strategy.
Client Interaction:
Communicate professionally with clients, opposing counsel, and external parties.
Coordinate client meetings and maintain client files and records.
Serve as a liaison between clients and legal professionals, providing updates and gathering necessary information.
Confidentiality and Compliance:
Handle sensitive and confidential information with discretion and integrity.
Ensure compliance with legal procedures, regulations, and ethical standards.
Maintain confidentiality of client information and privileged communications.
Qualifications:
Bachelor’s degree in Legal Studies, Business Administration, or related field preferred.
Proven experience as a legal assistant or executive assistant in a legal environment.
Strong knowledge of legal terminology, procedures, and document preparation.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and legal software.
Excellent communication, organization, and time-management skills.
Ability to prioritize tasks, work independently, and meet deadlines in a fast-paced environment.
Attention to detail and accuracy in document preparation and data management.
