We are currently looking for an excellent General Virtual Assistant to support our daily operations for the administrative tasks.

As the Office Administrator, you will be supporting the Operations Management and the other departments take on the development, improvement and implementation of the company and its client’s marketing, sales and other various tasks involved with marketing as an agency.

Job Duties & Responsibilities:
• Overseeing general office operations
• Coordinating appointments and meetings and managing staff calendars and schedules
• Supporting the operations management in supervising, onboarding training, and monitoring the office staff
• Assisting in producing reports, composing correspondence, and drafting new contracts
• Assisting in creating presentations and other management-level reports as well as maintaining the company files organized.
• Managing the executive email accounts to assist with catching and flagging urgent matters and support effective document and information flow
• Managing Grasshopper app and answering phone calls serving as a receptionist for the company
• Managing attendance and leave requests.
• Assisting in SOP creation and maintenance.
• Monitoring the Operations and Management’s meetings and keeping track of critical dates (i.e. establish and maintain a bring forward system)
• Attending and taking notes at meetings
• Create and maintain an action items list
• Other ad hoc business-related tasks as reasonably required

Qualifications and Skills:
• High level of English is a must as that is the official company language
• Must be able to work 9AM-5PM EST
• Proactive, keen eye for detail and timeline management
• 2 years’ experience in similar role
• Ability to multi-task and work effectively within a fast-paced environment
• Address opportunities and challenges with initiative and creativity
• A team player committed to supporting colleagues and pitching in where needed
• Resourceful and organized, with great attention to detail
• Proven dedication and relentless perseverance
• Strong verbal and written communication skills are a must
• Proficiency with MS Word, Excel, Outlook, PowerPoint
