We are seeking a highly organized and proactive Project Manager/Executive Assistant to support a busy Doctor and Entrepreneur in managing his tasks. The ideal candidate will have experience in project management and executive support, with a talent for organization, communication, and multitasking. This role involves organizing multiple projects and task management platforms, and ensuring that both daily tasks and long-term goals are tracked and achieved.
Please note that this is a project-based position starting with 2 hours per day for 1 month. There is potential to increase hours and/or transition into a long-term part-time or full-time position.
Key Responsibilities:
Task and Project Management:
Consolidate and manage the Doctor’s tasks from various platforms (e.g., Asana, Todoist).
Develop and maintain a centralized system for tracking all tasks and projects.
Monitor task progress and ensure deadlines are met.
Daily and Long-Term Planning:
Assist in organizing daily schedules and appointments.
Help set and track long-term goals and milestones.
Provide reminders and ensure all commitments are met.
Documentation and Reporting:
Maintain detailed records of all tasks, projects, and communications.
Prepare regular status reports and updates for review.
Create and maintain an organized digital filing system.
Problem Solving and Support:
Anticipate the Doctor’s needs and proactively address potential issues.
Provide administrative support, including email management, appointment scheduling, and travel arrangements.
Handle miscellaneous tasks to ensure the Doctor’s day-to-day operations run smoothly.
Qualifications:
Proven experience as a Project Manager, Executive Assistant, or in a similar role
Proficiency in project management and task management platforms (e.g., Asana, Todoist, )
Strong organizational and multitasking skills
Excellent communication skills, both written and verbal
Ability to work independently and take initiative
High level of discretion and confidentiality
Attention to detail and problem-solving skills
Ability to adapt to changing priorities and work under pressure
Preferred Qualifications:
Experience working with healthcare professionals
Knowledge of chiropractic practice management
