Job Description

As a Property Maintenance Coordinator, you will play a pivotal role in ensuring the efficient and effective maintenance of our properties. You will work closely with property managers and maintenance teams to oversee and manage the upkeep of our properties, ensuring they remain safe, functional, and aesthetically appealing. This position requires strong organizational and communication skills, as well as a deep understanding of property maintenance practices.

Qualifications:
– A minimum of 2 years of experience in property maintenance or a related field is required.
– Proven experience in coordinating maintenance activities for residential or commercial properties is highly desirable.
– Proficiency in verbal and written English is essential for clear and effective communication with team members, tenants, and external service providers.
– Exceptional attention to detail is crucial to identify maintenance needs, inspect properties thoroughly, and maintain accurate records.
– Strong organisational skills to schedule and coordinate maintenance activities, manage budgets, and keep comprehensive records.
– Strong problem-solving skills to address maintenance challenges and find cost-effective solutions.
– Basic knowledge of property maintenance practices, including electrical, plumbing, HVAC, and general repairs, is advantageous.
– Excellent customer service skills with the ability to respond to tenant inquiries and concerns in a professional and timely manner.
– Collaboration and teamwork skills to work effectively with property managers, maintenance teams, and external vendors.
– The flexibility to adapt to changing priorities and handle unexpected maintenance emergencies.
– Familiarity with local and national regulations, safety standards, and codes related to property maintenance is a plus.
CRM experience is a must or required

Key Responsibilities:
>Maintenance Scheduling: Coordinate and schedule maintenance activities for multiple properties, including routine inspections, repairs, and preventive maintenance.

>Vendor Management: Collaborate with external service providers, contractors, and suppliers to secure maintenance services, negotiate contracts, and ensure quality service delivery within budget constraints.

>Work Order Management: Receive and process maintenance requests from property managers and tenants. Prioritize and assign work orders to maintenance staff or external contractors, ensuring timely completion.

>Quality Control: Maintain high-quality maintenance standards and ensure that work is completed to satisfaction. Conduct follow-up inspections to verify the effectiveness of maintenance and repairs.

>Compliance and Regulations: Stay up-to-date with relevant regulations and codes related to property maintenance. Ensure properties comply with safety, environmental, and health regulations.

>Inventory Management: Maintain inventory of maintenance supplies and equipment. Order necessary materials and tools to support maintenance activities.

>Documentation: Keep detailed records of maintenance activities, expenses, and vendor contracts. Prepare and submit reports as needed.

>Tenant Relations: Communicate with tenants regarding maintenance concerns and schedules. Provide excellent customer service and address their inquiries and complaints in a timely and professional manner.

>Emergency Response: Be available for on-call duties to address property maintenance emergencies outside of regular working hours.
