We are seeking a reliable and detail-oriented Virtual Assistant to support our Executive Virtual Assistant (EVA) in processing orders, checking fabric delivery statuses, and performing various administrative tasks. The ideal candidate will be proactive, organized, and capable of multitasking in a fast-paced virtual environment.
Key Responsibilities:
Order Processing
? Assist in processing and managing customer orders.
? Ensure accuracy in order details and coordinate with relevant departments.
? Track order statuses and update customers on their order progress.
? Resolve order-related issues and communicate any delays or changes.
Fabric Delivery Status
? Monitor and check the delivery status of fabric shipments.
? Communicate with suppliers and logistics companies to ensure timely delivery.
? Update internal systems and inform relevant teams about the delivery status.
? Address any delivery issues and find solutions to mitigate delays.
Administrative Support
? Perform data entry and maintain accurate records.
? Manage and organize electronic files and documents.
? Assist with minor bookkeeping tasks.
? Conduct research and gather information as required.
? Handle small administrative tasks as assigned by the EVA.
Customer Service
? Respond to customer inquiries.
? Ensure all complaints are handled professionally and in a timely manner.
? Follow up with customers to ensure satisfaction and address any additional needs.
Task Management
? Assist in managing to-do lists and prioritizing tasks.
? Monitor deadlines and ensure timely completion of tasks.
? Support the EVA in project management and coordination.
Miscellaneous Tasks
? Input bills and manage payment records.
? Update order and dispatch status in ERP software.
? Assist with social media management and content creation.
? Perform other administrative duties as assigned.
Qualifications:
? Proven experience as a Virtual Assistant or in a similar role.
? Excellent organizational and time management skills.
? Strong communication skills, both written and verbal.
? Ability to work independently and as part of a team.
? High level of attention to detail and accuracy.
? Familiarity with order processing systems, fabric delivery tracking, and customer service practices is a plus.
