Job Description

Primary Responsibilities:

Manage client trips, handling project setup, and utilizing various tools such as Slack, Calendar, Asana, Constant Contact, Travel Joy, Interact, Travefy, Lead Pages, etc.
Regularly update client files and the Clients/Trips database (Travel Joy and Travefy).
Take projects from the design phase to completion, including insurance, trip audits, confirming details, sending VIP emails to hotels, and more.
Interact professionally and enthusiastically with partners and clients.
Take responsibility for details, including building, double-checking, and managing final itineraries.
Monitor projects while traveling, responding to clients in case of emergencies on weekends/evenings.
Create detailed and aesthetically pleasing documents in Travefy.
Convert partner proposals into Showtime Travel branding.
Assist in pre-proposal development and proof proposals from other travel vendors.
Utilize team tools effectively, including Travel Joy CRM, Constant Contact, Lead Pages, and Slack.
Continuously seek ways to improve as a team for better client service.
Working Style:

Remote position working with the CEO, Operations Manager, and Marketing Manager.
Most work assigned digitally, with availability for calls during regular business hours twice per week (preferably 10 AM – 3 PM EST).
Some weekend hours may be required as you take ownership of projects.
Regular check-in calls to discuss tasks, share feedback, and brainstorm (Monday and Friday Huddle calls).
Potential for a 6-month contract renewal.
Training:

Systemized training with Job Aids and Loom videos in the first week.
Ongoing training as needed, focusing on learning the company’s style and implementing it.
Growth Opportunities:

Promotion to full Travel Coordinator within 12 months with a rate increase.
Assistant Travel Coordinators support Operations Manager, while Travel Coordinators handle entire projects and client communications.

Required Skills:

Proficiency in Microsoft Word, Excel, PowerPoint, Adobe, Canva.
Experience with Asana and other project management tools.
Strong client interaction skills.
Excellent written and spoken English.
