Job Description

We own a swimming pool service company. Our VA will be working to ensure our customers are responded to in a timely manner, completing daily office tasks, and making sure our business runs smoothly.

Our company is two companies under one main company. One company focuses on pool cleanings and repairs while the other company focuses on swimming pool repairs.

Your daily responsibilities would include:

SLPS

Answer and respond to all incoming phone calls and text messages to this phone line
Answer and respond to emails and then file accordingly
Check in with our cleaning technicians via text message and phone call who are out in the field with their daily notes / updates throughout each day
Assist office manager in scheduling repair work and updating clients with status of repairs

API
Please check the API phone line for any responses, requests or
Please check the API email for any responses, requests or updates. (Hourly throughout the day)
Please check the Inspection Request Form for any responses, requests or updates. (Hourly throughout the day)
Please check the client retention board. Are there any clients we can reach out to in order to retain for service? (What exactly is this process?)
Schedule, book and confirm pool inspections

To qualify for this position, you will need at least TWO years of customer service experience in a fast paced environment*
Customer Service (STRONG customer service skills are a MUST) We have a high call and texting volume between three phone lines
Calendar management
Appointment setting
Database Management

We work in a fast paced industry. It’s really important that our VA would be:
Comfortable with talking on the phone frequently with clients and responding to text messages with clients
Quick response time during shift hours
Self starter / Problem solver * This is very important. We really need someone who is comfortable with working alone with time management skills
Pays close attention to detail
Organized

In addition to having excellent English speaking and writing skills, you’ll need to use the applications we listed below. You don’t need to be an expert in all of them. We will provide training needed for any applications you need help with.
Web research using search engines like Google
Gmail
Google Docs
Google Sheets
Google Calendar
Communication apps like WhatsApp, DialPad, Zoom and Google Meet
Project management software (We currently use )
Field Service (We use Jobber)
Loom (Screen recording software for training, etc.)

This is a full time position
Monday – Friday from 8:00-5:00 Eastern Standard Time (The hours will move to 9:00-4:00 during the Fall / Winter months Oct, Nov, Dec, Jan, Feb)
Saturdays (We have to work on Saturday sometimes and the only expectation is to monitor the phone lines and document emergencies)

Time off / sick leave can be discussed further.

We honor most Filipino holidays.
In the United States, we do not work on New Years Eve, New Years Day, Thanksgiving, Christmas Eve or Christmas Day.
