I’m the owner of a small IT company (6 employees- three in the PH and 3 in the US), based in Arizona, USA. We provide IT services to small businesses, Cyber Security and cloud services as well.
Our amazing VA (still with us, luckily) is leaving due to medical reasons and we’re looking for another rockstar to help with assisting with administrative tasks throughout the company.
This position requires someone who is organized, has great English (both written and verbal), patient and willing to learn!

JOB RESPONSIBILITIES:
• note: While it seems like a LOT is included here, I prefer to list everything i can think of now, to avoid major suprises. This list is currently being performed by our current VA, and we will of course train you and pace this list of responsibilities to make sure you understand each requirement and are comfortable performing each of those tasks over the first few weeks/ months!
• Provide email/call/chat support for inquiries, coordinate information with both clients and company employees (This is NOT a tech support job, but you will assist with coordinating service calls and meetings with clients and vendors)
• Appointment setting – scheduling meetings on calendar and coordinating with the attendees
• Scheduling courier pickups and deliveries of IT equipment
• Create/monitor client tickets on our Datto Autotask ticketing system – input notes, time entries, charges, coordinate information with the IT engineers
• Assist with basic internal audits, documentations and file management
• Review website changes/fixes needed on the sites we host
• Work alongside with our SEO person, Web Developer and Social Media Manager on the business development/marketing side of the business.
• Help coordinate events (using Mailchimp, Eventbrite, other tools) , coordinate event venues, and coordinating invites with guest speakers and prospects/attendees on a monthly basis.
• Basic lead generation using LinkedIn Sales Navigator and managing contacts lists through data entry
• Assist with jobs posts, review and respond to applications, scheduling interviews and coordinate information with applicants when needed.
• Assist with projects
WORK HOURS:
• Mon-Fri at 8am-5:30pm (Arizona time zone- MST -7)
• Paid (US) holidays time off
REQUIRED:
• AMAZING personality and work ethics
• Excellent written and verbal English with minimal accent
• Experience in office applications such as Word, Excel, Outlook, Teams
• Technologically savvy
• Knowledgeable with ticketing systems is a plus!
• Knowledgeable with basic data entry
MORE DETAILS:
• A PRE-EMPLOYMENT BACKGROUND CHECK is performed (on our expense). You must have 100% clean background check. Please do not apply if you don’t have 100% clean background check.
• You must have your own laptop and suitable office space at home with little to no background noise.
• You must have a fast and reliable internet connection, minimum 20x5mbps.
• Mandatory 1 hour lunch and additional breaks (as needed) throughout the shift.
