ABOUT THE ROLE:
We need a VA Operations Coordinator who will play a pivotal role in streamlining and enhancing our VA workforce operations. You will be responsible for managing digital documentation, facilitating efficient data entry, coordinating virtual meetings, and supporting various operational projects. Your role extends to overseeing internal communications within the virtual team, implementing process improvements, and ensuring compliance with virtual regulations and policies.
YOUR RESPONSIBILITIES
-Documentation and Filing:
Efficiently manage and organize digital documents and files.
Establish and maintain streamlined digital filing systems.
-Data Entry:
Input and update data in spreadsheets, databases, and other digital systems.
Ensure data accuracy and completeness.
-Correspondence:
Handle routine correspondence, emails, and virtual communications.
Draft and proofread digital documents.
-Operations Coordination:
-Task Assignment:
Assist in assigning tasks to virtual team members.
Monitor task progress and deadlines.
-Meeting Support:
Schedule and coordinate virtual meetings.
Prepare meeting agendas and take virtual meeting notes.
-Project Assistance: Provide support in planning and executing virtual projects.
-Coordinate project-related tasks.
-Internal Communication:
Facilitate communication between virtual team members.
Ensure the smooth flow of information within the virtual organization.
-Process Improvement and Documentation:
Document standard operating procedures (SOPs) in a virtual environment.
Update and improve existing virtual processes.
-Quality Control:
Assist in monitoring and maintaining quality standards in a virtual workspace.
Identify areas for virtual process improvement.
-Data Analysis and Reporting:
Data Management: Collect and manage data relevant to virtual operations.
Assist in analyzing data for insights.
Prepare reports on virtual operational performance.
-Compliance and Risk Management:
Compliance Monitoring: Assist in ensuring compliance with virtual regulations and policies.
Support in identifying and mitigating virtual operational risks.
Policy Documentation: Maintain documentation of virtual operational policies.
-Customer Interaction:
Customer Support: Handle VA’s inquiries related to operations.
Ensure positive interactions with external stakeholders in a virtual setting.
-Training and Development:
Onboarding Assistance: Assist in onboarding new virtual team members.
Coordinate virtual training sessions as needed.
Skills Development: Identify opportunities for skills development in a virtual work environment.
WE’RE LOOKING FOR SOMEONE WHO:
-Has proven experience as a Virtual Assistant or in a related virtual support role.
-Has strong organizational and multitasking abilities in a virtual setting.
-Has excellent communication and interpersonal skills in a virtual environment.
-Has proficiency in virtual collaboration tools and software.
-Proficient in Google Sheets, App Script, and Excel.
