Job Description

As a Top-notch Property Management Admin Assistant, you will play a crucial role in ensuring the smooth operation of our property management services. You will be responsible for a variety of tasks including bookkeeping, tenant communications, property maintenance coordination, and administrative support.

Responsibilities:
1. Property Management:
• Handle tenant inquiries and resolve issues promptly.
• Coordinate property maintenance and repairs with vendors and contractors.
• Assist in lease management, including renewals and terminations.
• Conduct tenant screenings and background checks.
• Manage rental listings and advertising.

2. Bookkeeping:
• Maintain accurate and up-to-date financial records.
• Process invoices, receipts, and payments.
• Reconcile bank statements and manage accounts payable/receivable.
• Prepare monthly financial reports.

3. Administrative Support:
• Maintain and update property management software.
• Assist with document preparation and filing.
• Schedule and organize meetings and appointments.
• Handle calls and inbox.
• Provide general administrative support to the owner of the company

Qualifications:
• Proven experience as a Virtual Assistant, preferably in property management or real estate.
• At least 1-2 years of bookkeeping experience.
• Proficiency in Microsoft Office Suite, Google Workspace, and property management software (e.g., App Folio, Buildium)
is a plus.
• Experience in Marketing/Advertising is a plus.
• Proficiency in bookkeeping and accounting software (e.g., QuickBooks, Xero).
• Strong understanding of property management processes and best practices.
• Excellent communication skills, both written and verbal.
• Exceptional organizational and time management skills.
• Ability to work independently and manage multiple tasks.
• High level of discretion and confidentiality.
• Ability to work independently.
• Willingness to work in the CST/MST time zone.
• Reliable internet connection and a quiet, professional home office setup.
