Job Overview:
We are seeking a highly organized and responsible Virtual Assistant to join our growing team. In this position, you will interact with our team remotely to provide C-suite members with administrative support. As a Virtual Assistant, you should have excellent organizational skills and a friendly, professional demeanor. Your primary job duties will include:
Responsibilities:
Making administrative calls and writing and responding to emails in a professional and timely manner.
Scheduling appointments, meetings, and managing an active calendar of appointments.
Bookkeeping tasks such as making purchases, paying invoices, and tracking financial transactions.
Taking meeting minutes and notes.
Preparing reports, presentations, and data management tasks.
Reviewing, analyzing, and summarizing data.
Conducting research projects.
Managing surveys and collecting and analyzing results.
Coordinating and booking travel arrangements and planning events.
Outlining and drafting newsletters or articles.
Testing and troubleshooting company software.
Creating, maintaining, and entering information into databases with a high level of accuracy.
Assisting with various tasks as required.
Requirements:
Proven experience as a Virtual Assistant or relevant role.
Strong phone, email, and instant messaging communication skills.
Excellent time management skills.
Solid organizational skills with the ability to multitask.
Proficiency in MS Office or Google Docs(Excel, Word, and PowerPoint, in particular).
Experience with office management tools (like Google Workspace), and remote meeting tools (like Zoom, and Google Meet).
Podio familiarity is a plus. But experience in other CRMs is a must.
Strong problem-solving skills and the ability to think critically and creatively.
Additional qualifications as an Administrative Assistant will be a plus.
Excellent written and verbal communication skills.
Strong attention to detail.
Able to work on EST Business hours.
Real Estate/Property Management experience is preferred.
