Job Description

Vacation Rental Property Administrator Responsibilities: Data Entry: Accurate and timely data entry for guest bookings, financial records, and property information.
Guest Communication: Promptly respond to guest inquiries, provide assistance during their stay, and address any concerns or issues.
Vendor Coordination: Coordinate with cleaning crews and maintenance teams for property turnovers, ensuring cleanliness and readiness for incoming guests.
Dynamic Pricing: Utilize AirDNA or similar tools to adjust rental rates based on market trends and maximize occupancy and revenue.
Listing Management: Regularly update property listings on various platforms like Airbnb, VRBO, and others to ensure accuracy and consistent representation across platforms. Ensure that the listings are mapped correctly for easy navigation.
Content Optimization: Enhance property listings with high-quality photos, detailed descriptions, and effective SEO strategies to attract potential guests.
Marketing: Promote properties on multiple platforms, including MLS, Facebook Marketplace/groups, and Instagram. Explore opportunities for partnerships and collaborations with travel professionals, corporate housing providers, relocation agencies, and insurance companies to expand marketing reach.
Guest Retention: Develop rebooking strategies to encourage past guests to return for future stays, enhancing guest loyalty.
Platform Optimization: Stay updated on the latest vacation rental trends and continuously optimize the use of platforms like Hostfully. Regularly meet with the Hostfully account manager to ensure efficient system utilization.
Platform Evaluation: Research and interview other property management platforms to assess their suitability for your properties, considering factors like features, pricing, and support.
Individual Property Marketing Plans: Create customized marketing plans for each property to maximize its occupancy and appeal to specific target audiences.
Direct Booking Site: Develop a marketing plan for your main direct booking website to attract direct bookings and reduce reliance on third-party platforms.
Your role as a vacation rental property manager encompasses a wide range of responsibilities, all aimed at ensuring the successful operation and marketing of your properties. Adapt and refine these tasks as needed to suit your specific business goals and the unique characteristics of your properties.
Experience in the following:
Utilizing vacation platforms such as Hostfiully, Airbnb, and Vrbo
Utilizing FB Marketplace and groups for promoting products and services
Customer Service
Google Workspace/ G Suite
Working with a team
Research and Data analysis
Developing marketing plans
Building out automation in various systems
Property Management
