We are looking for a Virtual Assistant to provide essential support across multiple departments, including Payment Processing, Customer Success Management (CSM), Sales, Marketing and more. This role plays a crucial part in maintaining the efficiency and effectiveness of our operations.
Some key responsibilities include, but are not limited to:
– Payment Details: Verify and check payment details to ensure accuracy and resolve discrepancies as needed.
– Card Chargebacks and Financial Information: Handle card chargebacks, process requests for financial information, and assist with financial inquiries.
– Sales Team Administration: Support the Sales team with various administrative tasks, such as document preparation, data entry, and report generation.
– Operations and Project Management tasks: being able to adapt and help out with automations, operations and manage projects.
– Slack Channel Creation: Create and manage Slack channels as required to facilitate team communication and collaboration.
– Refund Requests: Manage refund requests, ensuring they are handled promptly and in accordance with company policies.
– Escalations & General Support: Address customer and client escalations, working with the relevant teams to resolve issues effectively.
– Support Multiple Teams: Collaborate with the CSM, Sales, and Marketing teams to ensure the smooth flow of information and support their daily activities.
Qualifications:
– Proficient in English, both written and spoken.
– Exceptional attention to detail and accuracy.
– Ability to work in a fast-paced environment with tight deadlines.
– Strong sense of responsibility when handling sensitive information.
In addition to the qualifications mentioned above, the following skills and experiences are highly desirable for the role:
– Experience with Card Chargebacks: Previous experience in handling card chargebacks and disputes is a significant asset.
– Familiarity with Slack: Proficiency in Slack, including the creation and management of channels, is advantageous.
– Knowledge of HubSpot: Experience with HubSpot or similar CRM tools is a plus, as it can enhance your ability to support the Sales and Marketing teams.
– Zapier & Automation Skills: A strong understanding of automation tools like Zapier is highly desirable, as it can streamline various processes and tasks within the role.
– Ezypay Experience: Experience with Ezypay, a payment processing platform, is a valuable skill that can contribute to the efficiency of payment-related tasks.
