Overview

We are looking for a highly organized and detail-oriented Virtual Legal Assistant to join our team from anywhere in the world. This role involves supporting our attorneys and legal team by preparing and organizing legal documents for court filings, conducting preliminary research on immigration cases, and delivering exceptional service to our clients. Ideal candidates will possess excellent communication skills, a strong understanding of immigration law procedures, and the ability to handle sensitive information with utmost professionalism.

Key Responsibilities:

Document Preparation: Assist attorneys in preparing and organizing legal documents for court filings, including petitions, applications, and supporting evidence.
Research: Conduct preliminary research on immigration cases, regulations, and legal precedents to support attorneys in case preparation.
Client Interaction: Answer incoming calls from existing and prospective clients, providing courteous and professional service.
Intake Processes: Handle intake processes for prospective clients, gather initial information, and set up consultations with attorneys.
Scheduling: Schedule appointments based on availability and urgency, coordinating with attorneys and paralegals.
Record Maintenance: Maintain accurate records of client interactions and update client databases to ensure up-to-date information.
Follow-Up: Follow up with prospective clients after initial consultations to address additional questions and schedule follow-up appointments.
Appointment Management: Assist existing clients with scheduling or rescheduling appointments and provide updates on case status.
Documentation: Ensure all client communications are documented and tracked in the case management system.
Translation Support: Provide translation support when necessary to facilitate communication with non-English-speaking clients.
Deadline Monitoring: Monitor case deadlines and ensure timely submission of documents to relevant authorities.
Correspondence: Prepare and send correspondence to clients, government agencies, and other parties as directed by attorneys.
File Management: Organize and maintain physical and electronic case files for easy retrieval and reference.
Coordination: Coordinate with external service providers, such as process servers and couriers, to ensure timely document delivery.
Mail Management: Manage and maintain a daily mail log to track incoming correspondence and ensure proper distribution.
Calendar Management: Add appointments, court hearings, interviews, and preparation sessions to the calendar as instructed by your supervisor.
Administrative Support: Provide general administrative support, including managing emails, preparing correspondence, and performing other clerical tasks.
Confidentiality: Maintain confidentiality and handle sensitive information with care.
Legal Updates: Stay updated on immigration law procedures and policies to provide accurate information to clients and support the legal team effectively.
Proactive Communication: Communicate with clients to inform them of receipt notices, appointments, and other pertinent information.
Follow-Up Management: Manage and maintain the call-back list to ensure timely follow-up with clients and address their inquiries or concerns.

Qualifications:

At least 1 year of experience as a legal assistant or in a similar role.
Strong understanding of immigration law and procedures.
Excellent communication and interpersonal skills.
Highly organized with strong attention to detail.
Ability to handle sensitive information with professionalism and confidentiality.
Proficient in using case management software and other legal tools.
Fluent in English; proficiency in Spanish is a plus.
Ability to work independently and as part of a team in a remote environment.
