Job Description

We are seeking a dynamic and highly motivated Virtual Assistant to join our team for a Medical Supply company. As a Virtual Admin, you will play a crucial role in maintaining excellent client relationships, managing client databases, handling inbound and outbound calls, and providing top-notch customer service. You will be responsible for addressing client concerns, prospecting, and following up with clients while maintaining a positive and professional demeanor. This role requires strong problem-solving skills, organizational abilities, and a friendly disposition.

**Key Responsibilities:**

1. **Client Communication:**
– Handle inbound and outbound calls with professionalism and courtesy.
– Engage in prospecting calls to identify potential clients and opportunities.
– Follow up with clients to provide updates, gather feedback, and ensure satisfaction.
– Address and resolve client concerns or issues promptly and effectively.
2. **Client Relationship Management:**
– Utilize the Client Relationship Manager (ZOHO) to update and maintain client files.
– Organize the client database for reaching out on special occasions such as birthdays, holidays, and other special events to foster stronger relationships.
3. **Problem Solving Skills:**
– Demonstrate strong problem-solving abilities to address client inquiries and challenges.
– Be a resourceful and proactive problem solver, aiming to exceed client expectations.
– Effectively deescalate situations when required and know when to escalate to higher levels of support.
4. **Organization and Multitasking:**
– Maintain a high level of organization to manage multiple tasks and priorities efficiently.
– Juggle various high-priority tasks while providing exceptional service to clients.
5. **Friendly and Professional Demeanor:**
– Maintain a friendly and positive attitude during client interactions.
– Serve as a reflection of the company’s professionalism and commitment to client satisfaction.

**Qualifications:**

– Previous experience in a customer service or client-facing role is preferred.
– Proficiency in using Client Relationship Management (CRM) tools, with specific knowledge of ZOHO CRM being a plus.
– Excellent problem-solving skills, with the ability to think on your feet and find solutions independently.
– Strong organizational skills and the ability to manage time effectively.
– Exceptional interpersonal and communication skills.
– A friendly and positive demeanor, even under pressure.
– The ability to work remotely and independently with minimal supervision.
– Availability for flexible work hours to accommodate client needs.
