We are a small independent UK Accountancy Firm that has evolved significantly over the past few years to become one of the most innovative Firms in our market.

The Role

The position of Virtual Admin Assistant will assist the CEO and senior management with the firm’s admin function supporting the future growth of the practice.

Reporting and working with the CEO on a daily basis.

Key Duties

– Administration of the firm’s practice management system and ensuring client data is up to date, accurate and complete
– Supporting staff with job management ensuring deadlines are met
– Requesting job records and key documents
– Management of the onboarding process ensuring we have all new client’s details and updating our systems
– Client disengagement
– Email management
– Document management
– Preparation of letters and writing up meeting minutes
– Arranging meetings
– Social media scheduling and support with email marketing
– Updating CRM
– Content creation
– Sales outreach
– Posting blog posts on WordPress
– Travel planning
– Opportunity to support with bookkeeping on Xero
– Preparing simple payrolls on Xero
– Project Management / Support
– Helping staff with CPD requirements
– Meeting the requirements of our professional body
– Helping the CEO with personal admin

Essential

To be considered for this opportunity, you must have the following experience:

– Excellent verbal and written communication skills
– Proven work experience as an Administrator or within an office support role. Financial Services experience is useful but not essential, however, we would hope to see 1-2 years of relevant administrative experience
– Excellent customer service and the ability to build rapport and manage client relationships
– Strong attention to detail and be able to problem-solve and think on your feet
– Good time management and planning skills
– Strong working knowledge of Excel, Word and other Microsoft Office Programs
– It is essential that you are confident in dealing with colleagues, third parties and can work with total discretion.
– Be a team player and be passionate about your job.

This is not a job for evening workers. Who wants to work through the night alongside another job or childcare commitments through the day PHP time.

The role requires your full attention, commitment and a high level of accuracy and drive.

Experience in marketing, and the UK BPO function, with general bookkeeping and Xero experience, is desirable.
